We are seeking a highly organized Executive Support Supervisor to join our Executive Support Team.
The mission of the Executive Support Team is to provide excellent support services that are seamless and efficient to internal staff and external community and business customers. The Executive Support Team is a cohesive team that provides support to the Denver Economic Development & Opportunity’s Executive Leadership Team and overall office to ensure that its financial and technical resources are maximized and accounted for; its programs meet their intended outcomes; and DEDO operates in accordance with federal, state, and local laws and regulations.
In this Executive Support Supervisor position, you will be expected to provide reliable and energetic support to DEDO’s Executive leadership members, Executive Office and serve as a supervisor of the Executive Support Team. You will rely on your ability to maintain high level of confidentiality, excellent attention to detail and organization skills, exhibit strong administrative, organizational, and logistical skills and lead the Executive Support Team through coaching, support and leading by example.
As our Executive Support Supervisor, you will:
- Supervise DEDO’s Executive Support Team (6 Staff Assistants)
- Manage and maintain calendars, organize and schedule daily and long-term activities and meetings for DEDO’s Chief of Staff and Chief Operating and Financial Officer
- Keep Chief of Staff and Chief Operating Officer informed of items that arise throughout the day: use judgement to suggest solutions and/or opportunities. Manage and ensure appropriate and timely follow up on internal and external requests for information or action
- Anticipate needs of the Chief of Staff and Chief Operating and Financial Officer for meetings, including creating agendas, documents and other necessary materials. Ensure the executives see and read all necessary materials to prepare for meetings
- Brief and prepare Chief of Staff and Chief Operating and Financial Officer for meetings and presentations.
- Prioritize communication efforts for both Chief of Staff and Chief Operating and Financial Officer, attend meetings and take notes as needed
- Provide administrative support to Executive Office team members as needed
- Conduct research on initiatives, policy, and client inquiries as requested
- Liaise and communicate with Mayor’s Office, other City agencies, and external organizations for the Chief of Staff and Chief Operating and Financial Officer as needed
- Process purchasing card transactions, prepare expense reports, and maintain credit card logs.
- Serve as the Executive Director’s back-up assistant
- Serve as the Executive Office & Operations Manager’s back-up in the areas of special projects for the executive leadership, position management, emergency coordination and travel coordination

Our ideal candidate will have:
- Previous experience supervising teams with a minimum five years of experience supporting C-level executives
- Highest level of professionalism, diplomacy, discretion, and integrity
- Experience serving as confident advisor to the executive leadership
- Ability to maintain confidentiality and handle privileged information in a discreet and confidential manner
- Process improvement drive, willingness to learn
- Advanced experience with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
- Travel coordination experience
- Excellent written and oral communication skills

- Education: Bachelor’s Degree
- Experience: Three (3) years of experience administering business operations or operational programs and/or assisting professional/management staff with administrative or operational functions
- Education & Experience Requirement: One (1) year of the appropriate type and level of experience may be substituted for each required year of post-high school education. Additional appropriate education may be substituted for the minimum experience requirements
