JOB SUMMARY

Responsible for performing simple to moderate accounting and financial tasks including vendor expense processing, financial analysis, project management finance, and ad hoc assignments.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Day-to-day AP tasks including vendor invoice review, analysis, and reconciliation
  • Running reports and accounting system support including investigating and resolving system errors including match-exceptions
  • Vendor management including regularly calling vendors and resolving purchase orders, contracts, invoices, and payment discrepancies
  • Following up with Facility Management and Sourcing teams to ensure timeliness of purchase orders, receipts, and invoicing
  • Consolidate invoice data and prepare AP Uploads and verify data accuracy
  • Review Landlord invoices for Work Order charges and prepare AP Uploads
  • Prepare documents with new sites or changes to existing sites to update real estate portfolio data and ensure systems are up-to-date and in sync
  • Limited procurement tasks including reviewing vendor proposals and contracts; creating purchase requisitions, and managing reoccurring purchase orders
  • Compile data, update and maintain data trackers and prepare reports
  • Support the ‘Weekly Pre-funding Process’ including coordination, commodity/GL code review/editing, report preparation, client presentation, and review
  • Support the monthly accrual process and assist with expense tracking
  • Work closely with client accounting group
  • Conduct and/or assist in variance analysis and prepare quality commentary for reporting
  • Assists in the preparation of budgets and outlooks
  • Support Project Management process including monthly reconciliations and capital project closeouts
  • Review Corporate GL entries for accuracy and make reclass entries as needed
  • Ad hoc finance projects, reports, and assignments

SUPERVISORY RESPONSIBILITIES

None, but at times duties may encompass technical guidance and/or training to co-workers and/or vendors.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily with emphasis on attention to detail and concern for accuracy. Ability to multi-task and work in a challenging fast paced client-facing environment. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION and EXPERIENCE

Bachelor's degree (BA/BS) in Accounting or Finance from a four-year college or university and a minimum of two years of prior related work experience

COMMUNICATION SKILLS

Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable, and courteous service to clients. Ability to effectively present information in written and verbal form to coworkers, management, and clients.

FINANCIAL KNOWLEDGE

Requires knowledge of general ledger, chart of accounts, financial terms, concepts, and accounting principles.

REASONING ABILITY

Ability to comprehend, analyze, and interpret financial information and transactions and accounting principles. Ability to problem-solve, both independently and working as a team.

Requires analytical and quantitative skills.

OTHER SKILLS and/or ABILITIES

Proficient computer skills including specific knowledge of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, etc.) with a strong emphasis on Excel. Broad experience with other software and financial/accounting systems is desired. Knowledge of the real estate service industry and terminology is helpful. A strong work ethic and adaptable adaptability are essential.
