The Front Desk Office Assistant is primarily responsible for performing receptionist/secretarial functions for faculty, students, and administrators for the School of Nursing. This position manages customer volume by triaging and scheduling as appropriate.

Duties & Responsibilities

  • Answers multiple lines and relay basic information to future Miami Dade College students who are interested in pursuing a career in the medical field
  • Multi-tasks errands such as, receiving, sorting, and distributing faxes in a timely manner
  • Schedules appointments for Chairpersons, program faculty, and Student Services Assistant appropriately
  • Directs students to faculty administrative offices, stock office supplies, prepare and maintain student feedback documents for faculty and staff
  • Reports any office equipment malfunctions to the proper maintenance company or office, creating and maintaining confidential records and files
  • Understand and carries out written and oral instructions, print transcripts and degree audits
  • Receives, opens, date-stamps, and sorts and distributes incoming and outgoing mail
  • Assists all levels of staff providing information and assisting whenever possible
  • Performs other duties as assigned

Minimum Requirements

  • Associate’s degree in related field and two (2) years of customer service or relevant work experience or high school diploma and three (3) years of customer service or relevant experience
  • Knowledge and understanding of College organization, goals and objectives, and policies and procedures
  • Knowledge and commitment to the college mission
  • Possess excellent organizational and communications skills (both oral and written)
  • Knowledge of Microsoft Office applications and solid computational skills
  • Possess strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community
  • Ability to effectively present information and respond to questions from top management, groups of managers, clients, customers, and the general public
  • Ability to work with user communities of diverse backgrounds and skill levels
  • Ability to work in a multi-ethnic and multi-cultural environment with students, faculty and staff
