Essential Duties and Responsibilities include the following. Other duties may be assigned.

· Phone operator; directs calls, schedules appointments

· Keep reception area and exam rooms tidy and stocked with necessary items.

· Greet and directs all patients, salespeople, and visitors.

· Room patients throughout the day, as scheduled and/or required.

· Sorts faxes periodically throughout the day, distributing appropriately and reusing stat orders.

· Patient check-in for scheduled and walk-in patients. Includes: obtaining all required documentation in complete form, entering patient data and prescriptions in OPIE; obtaining verification of patient ID; running insurance eligibility, and communicating with case managers as necessary regarding insurance benefits.

· Screening walk-in patients for appropriate Rx/authorization and insurance for item(s).

· Check out patients. Includes: verify items delivered with practitioner, obtain signed delivery receipt, complete financial responsibility form, collect and properly document payment due, verify patient documentation complete, appointment type in OPIE is appropriate, schedule for follow-up

· Enter all required clinical paperwork (Practitioner notes, parts order forms, LCODES, Orthotic order forms)

· Enters all new prescriptions and priorities based on urgencies

· Follow weekly WIP duties

· Assist with verifying WIP tickets before deliver: current authorization, insurance eligibility, and all required documentation complete.

· Oversight of daily schedule. Communicate with practitioners as necessary.

· Translate for Spanish-speaking patients during visits.

· Responsible for accurate maintenance of OPIE WIP

· Actively work on WIP to ensure all patients are followed up on in a timely fashion

· Acquire any needed documentation from physician’s office when scheduling new appointments

  • Prepare PO’s and submit orders in efficient and timely manner.
  • Maintain adequate inventory of stock items, shipping materials and supplies.
  • Package and prepare items for shipping; ensure cost efficiency and shipping specifications are met.
  • Unpack and check incoming shipments against packing slips and PO’s; reject damaged items, record shortages, and contact shipper to rectify damages and shortages.
  • Route items to appropriate departments/individuals.
  • Provides etas requested for patient order items.
  • Checks due dates of rush items every day and enters tracking numbers if necessary to these orders.
  • Daily checks and fulfills Opie Pm messages as well as emails.

Requirements:

· High school diploma required.

· Ability to perform basic mathematical computations.

· Bilingual English-Spanish.

· At least one year front office experience in a healthcare environment

· High fluency in English language. Ability to understand and follow verbal and written instructions.

· Strong communication skills for directing, training, and providing feedback to others, and receiving the same.

· Ability to manage multiple tasks without errors and within deadlines/time constraints.

· Computer literate with basic skills in Outlook, MS Word and internet usage.

· Neat and legible handwriting

· Excellence in customer service. Ability to discuss and clearly explain insurance issues with patients.

· Ability to write simple correspondence, memos, and emails with correct English usage.

· Ability to use basic office equipment- computer, scanner, facsimile machine, telephone, credit card machine, photocopier, and ten-key.

· Ability to explain/demonstrate processes and to effectively train others.

· In accordance with Los Angeles County, Department of Health Services employee must be cleared to work in all health facilities contracted with Valley Institute of Prosthetics and Orthotics.

Job Type: Full-time

Pay: $16.04 - $18.00 per hour
