Job Function:
The Grant Coordinator will assist the Director with fiscal management of the OSU-OKC Carl Perkins grant and the program initiatives. The Coordinator will also assist with other grant-funded programs that serve students from special populations. Duties include program development support such as tracking expenses, activities, and progress of projects within the department that supports students from special populations. Special populations include, but are not limited to, single parents, economically disadvantaged families, students in fields of study that are non-traditional for their gender, out-of-workforce individuals, homeless individuals, and youth who are in or aged out of the foster care system.
Essential Job Functions:
- Assists in the development, implementation, evaluation and management of grant-funded projects that serve special populations
- Track project spending, activities, and progress in compliance with grant requirements
- Manage tracking systems as well as collect, organize, and report data
- Process required internal documents in a timely manner
- Complete monthly account reconciliation and reports
- Track project deadlines and issue alerts and reminders to project managers as needed
- Assists in the management of all phases of fiscal operations, processes and controls to ensure compliance
- Monitors multiple budgets and processes budget modification requests as needed
- Preparation and entry of applicable grant reporting
- Assists in the preparation and processing of financial documents including grant account management, purchase orders, and invoices to ensure accurate and timely processing
- Accurate record keeping, financial process monitoring, tracking, reporting and escalation as appropriate
- Complies with all state and university policies
- Completes all mandatory training and participates in a minimum of two professional development trainings each year
- Attends workshops, trainings, and conferences as needed
- Perform other duties as assigned

Work Experience:
- Three years of accounting, budget, grants or related experience to include data entry and record keeping responsibility.
- Related work experience and a strong interest in providing high quality administrative support
- Valid Oklahoma driver’s license
- Strong organizational skills.
- Ability to work effectively and cohesively with administrators, faculty, staff, students, and representatives from partnering community organizations.
- Strong interpersonal skills and sensitivity to a multicultural/diverse environment.
- Exceptional problem solving and critical thinking skills.
- Demonstrated ability to communicate diplomatically, clearly and effectively, both verbally and in writing.
- Ability to manage tracking systems as well as collect, organize and report data.
- Excellent attention to degree of accuracy and attention to detail.
- Ability to handle multiple tasks and prioritize effectively with high degree of accuracy and attention to detail.
- Ability to communicate diplomatically, clearly and effectively, both verbally and in writing to exchange information, give/receive instructions and respond to inquiries appropriately.
- Strong interpersonal skills and sensitivity to a multicultural environment in an effort to work and communicate effectively with all students, faculty, staff and community partners.
- High degree of initiative to work independently and also collaborate in a team environment.
- Demonstrated knowledge of office technologies including but not limited to: office computers, fax machines, scanners, internet, Microsoft Office (Word, Excel, Access, PowerPoint, Outlook).
- Passion for assisting customers and representing the OSU-OKC and OSU brand with positivity and professionalism.
- Demonstrated history of ethical and professional behavior.
- Two years of experience working in higher education.
- Two years of experience tracking and organizing program information.
- Must be able to work flexible hours to include some nights and weekends.
- Work will be performed in an office environment with a significant amount of public contact, in person, by telephone, via email, and various communication platforms.
- Light travel may be required.
- Duties require extended periods of sitting, talking and listening.
- Duties require extensive use of computers, telephone and other office equipment.
- Requires possible lifting of up to 25 lbs. (If an object weights more than 45 lbs., OSU-Oklahoma City requires this to be a two-person lift).
