Title: Grants Management Specialist

Job Summary:
Under the supervision of the Chief Financial Officer (CFO) or Chief Financial Officer appointed designee of Omni Family Health (Omni), the Grants Management Specialist is responsible for supporting the management of Omni grants and other administrative projects as assigned. The Grants Management Specialist will coordinate grant and project commitments to meet established goals, including communications with sponsors, internal stakeholders, and external stakeholders. The position will research grant opportunities, prepare materials, support the completion of grant applications, support the completion of progress reports, and other grant-related assignments. As assigned, the Grants Management Specialist may assist in the planning, implementation, and introduction of grant funded projects or the implementation of operational processes.

Job Duties:
1. Conduct research on available grant opportunities and appropriate funding sources in support of Omni goals, objectives, and programs.

2. In coordination with other development staff, write and manage a portfolio of foundation and corporate grants and awards.

3. Explore and submit applications for opportunities of recognition through awards/certifications that will elevate the organizations image and reputation.

4. Explore opportunities for funding in various categories and submit applications or work with grant writer to assist with other grant preparation.

5. Compile and tally collections of data and statistics in a timely manner in order to meet reporting obligations of funding agencies _on a monthly and quarterly basis as needed or required.

6. Keep careful records to track proposals, reports, grant decisions, and input grant-related data in established databases.

7. Assist in the coordination of grant-writing activities and maintain grants matrix.

8. Contribute to the production and coordination of governmental or federal grants and any reporting as necessary.

9. Assist in coordination of meetings with sponsors, stakeholders, etc. as necessary to kick off the implementation of projects.

10. To support departments and project, this position is responsible for the development of tools to monitor progress.

11. Responsible for the prioritization of work tasks and meet deadline and reporting periods for grants.

12. Expected to work with the CFO in situations requiring changes in goals and objectives of grant to meet deadline(s); Expected to be able to provide recommendations based on experience and understanding.

13. Coordinate funding actions including but not limited to: pre-award review of applications, work plans, budgets and funding recommendations; working with project officer and/or grant makers to ensure

regulatory and statutory compliance; post-award monitoring; and close-out of grants.

14. Assist with preparation for on-site visit and various grant related audits.

15. Contribute to the initiation, refinement, and implementation of applicable policies and procedures.

16. Apply knowledge of organizational needs and deadlines and follow-up to assure receipt of required documentation.

17. Ensure compliance with terms and conditions of grants/agreements and monitor assigned grant/program requirement and allowances.

18. Assist development staff in carrying out a variety of tasks related to grant criteria review.

19. Other duties as required by the funding agencies, and/or as agreed upon by the management staff as the case may be currently or in the future.

20. Attend all meetings, trainings, events and, conferences/trainings as assigned.

21. Other work related duties as assigned; duties may be assigned either verbally or in writing by supervisor.

Additional Duties:
1. Health Insurance Portability and Accountability Act (HIPAA) compliance: Responsible for maintaining abreast of and in compliance with all HIPAA regulations and requirements.

2. Compliance: Ensure compliance with all local, state and federal regulations.

3. Quality Assurance/Quality Improvement (QA/QI): Participate as required in QA/QI activities and contribute towards the overall quality improvement initiatives of the organization.

4. Information Technology (IT): May be required to learn and use core technical or technology systems as required by the job function, policies, and procedures.

5. Patient Centered Medical Home (PCMH): All employees will participate in PCMH at Omni Family Health.

6. Audits: Actively contributes to required Health Resources and Services Administration (HRSA) Operational Site Visit (OSV), The Joint Commission, and other audit events.

Qualifications, Education, and Experience:
1. Minimum of an Associate's Degree required; Bachelor's Degree in English, Communications, Healthcare Administration, or other related field preferred.

2. Minimum of one year of experience in a similar setting required.

3. Experience in grant writing or project management preferred.

4. Valid CA driver's License

Skills/Competencies

1. Strong research skills preferred.

2. Skilled in data analysis, manipulation of data, graphical representation of data desirable.

3. Excellent persuasive writing ability desirable.

4. Maintain strict confidentiality at all times.

5. Ability to read and comprehend documents of moderately complicated nature.

6. Must believe in health care with dignity for all.

7. Must be proficient at public speaking and presenting.

8. Must be proficient with Microsoft Word, Excel, Power Point, etc.

9. Ability to speak, read and write in English and Spanish is desirable.

10. Ability to work under pressure.

11. Ability to be reliable in attendance and timeliness to work schedules.

12. Must be able to manage projects.

13. Friendly attitude with the desire to work with the public.

14. Ability to multi-task and handle multiple functions.

15. Understanding of community based organizations.

16. Knowledge of bookkeeping and office functions.

17. Promote and believe in OFH mission statement.

18. Ability to relate to the public regardless of ethnic, religious and economic status.

19. Must be willing to work at any Omni Family Health, location, other than the assigned site and be agreeable to work weekends, if so needed.
