Position Overview: Grants Manager

The Grants Manager leads relationship management, contract registration, compliance, and reporting for a portfolio of public and private grant funding. This staff member will build a foundation for sustainable growth and successful program implementation by ensuring Common Threads stays compliant with federal, state, local and grant guidelines. They will serve as a key point of contact and relationship manager between Common Threads and assigned funders. The Grants Manager will also support other Development Department functions, including proposal development and other projects as assigned.

This position will work fully remote with occasional travel for events and meetings. This position will report directly to the Director of Advancement. This position is full-time and partially grant-funded.

Responsibilities:

Grant Management and Compliance:

  • Complete periodic grant reports, including monthly, quarterly, mid-year, and final reports for a portfolio of public and private funders
  • Complete compliance requirements for various grants, such as collecting and submitting requested organizational and programmatic documentation for contract registration, ongoing monitoring and reporting, and for reimbursement requests
  • Assist the Programs and Development departments by inputting accurate data into Common Threads’ Salesforce database and external compliance systems
  • Support the Programs and Development departments by handling income recording & reconciliation, correspondence and stewardship with key stakeholders (including funders, agency administrators, compliance officers, program partners and individual donors)
  • Monitor procedures to ensure compliance to Common Threads policies and procedures and grant-specific guidelines
  • Provide administrative support to various team members (e.g., coordinating direct mailings, tracking expenses, data entry, reporting, documenting receipts)
  • Serve as relationship manager for select government contracts and foundation accounts
  • Write compelling funding requests, ranging from one-pager donor letters, to LOIs, to grant proposals
  • Articulate the mission and activities of Common Threads to diverse funding and community audiences through individual conversations, group presentations, site visits, etc.
  • Support Programs and Development staff in the review of RFPs/RFAs and development of grant proposals
  • Record accurate and timely entries of account information in Salesforce, including contacts, deadlines for all application materials and reports, and key recognition and outreach activities

  • Support the creation of key Development Department collateral materials, utilizing Canva or other design programs
  • Support individual giving campaigns and organization events in collaboration with the Marketing and Communications Team
  • Support the improvement of internal Development Department systems and operations
  • Engage in organization-wide events, workshops, and committees

Minimum Qualifications:

  • Bachelor's degree required. Business, social work, public/nonprofit administration, education or similar background preferred
  • 2-3 years experience working in nonprofit organizations or education field preferred, preferably in supporting back office operations for a small, fast-paced team
    • Computer skills, including Microsoft Word and Excel, Outlook and Google Drive documents. Experience with other software, Salesforce (or similar CRM) preferred.
    • Knowledge of nutrition and cooking preferred
    • Strong written and verbal communication, organizational, time management and logical thinking skills; must be detail-oriented
  • Track record of maintaining confidential information and maintaining data with a high degree of integrity, efficiency and accuracy
  • Ability to work independently and remotely with confidence
  • Technologically savvy and comfortable learning and utilizing new technology
  • Ability to work within a mission-driven environment to develop professional and respectful relationships with culturally diverse people, both internally and externally
  • Some travel may be required on occasion for meetings and trainings, including outside of the market

  • This position maintains a traditional work week schedule (generally 9am-5pm, Monday-Friday), but may require some weekend and evening work for special events.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds.
