Knowing that a successful Legal firm is at its best when supported by an Executive Administrator that knows how to get things done our client is adding a vital member to their office team.
Who our client needs:
An Executive Administrator who is willing to collaborate with the leader and team to establish and implement processes that will streamline office operations while effectively utilizing the provided resources. The Executive Administrator will be responsible for overseeing human resource and administrative tasks, such as client onboarding and communication; scheduling and calendar management; coordinating payroll and other HR functions; helping with preparation for legal hearings and trials; organizing a yearly event for clients and colleagues; and maintaining office equipment and supplies.
This role requires excellent organizational and time management skills, you must be detail-oriented and possess strong communication skills. Success in this role will require the candidate to be proficient in the use of Microsoft Office, Clio (preferred), Google workspace, and benefits management systems. The secret code is legal. You may also be responsible for managing financial and budgetary matters, such as managing expenses, preparing certain reports, and managing accounts payable and receivable.
The Executive Administrator plays a critical role in managing the business and administrative functions of the law firm, allowing lawyers and other legal professionals to focus on delivering high-quality legal services to their clients.
Essential Duties and Responsibilities:
- Local office administration
- Calendar management for the principal and firm
- Inbox management
- Client facing correspondence
- Process creation and SOP documentation and implementation
- CRM management - Clio preferred
- AP/AP
- Payroll preparation
- Complete tasks proactively
Essential Skills and Abilities:
- Cilo - preferred
- MS Office - especially Excel
- Google Workspace
- Technical writing skills
- Customer service mindset
- Growth mindset
- The secret code is legal (you'll need this)
- Excellent organizational, communication, and interpersonal skills
- Strong problem-solving and decision-making abilities
- Proven experience in office management or a similar role, with a track record of success in overseeing office operations, staff management, and financial management
Compensation Details:
- $65k
- Health Insurance
- 401(k) w/match after 1 year
- 2 weeks PTO

The role requires at least 5 years of Office Administration experience.
