A Brief Overview
University HealthCare Alliance (UHA) is a physician network and medical foundation partnered with Stanford Health Care and Stanford Medicine with over 70 locations in the San Francisco Bay Market Area. The Logistics Coordinator is responsible for managing organization-wide aspects of shipping routes, delivery, and fulfillment status of shipments throughout the entire transportation life cycle. The person who accepts this position must be well versed in supply management principles and practices, shipping and receiving, inventory control, and recall management, as these areas are additional responsibilities for this position. The Logistics Coordinator must be a good communicator to facilitate and promote all stages of a healthy and efficient supply chain. Responding promptly to customer questions and complaints and notifying them of any delays in the delivery schedule is essential. Successful Logistics Coordinators possess excellent problem-solving skills and can work with little supervision. This position will report directly to the Director of Corporate Operations. This position requires the person accepting this role to: • Have their own car, as they will travel 15% of the time to UHA clinics located on the Peninsula and surrounding San Francisco Bay Area. Mileage and bridge tolls are reimbursed per policy. • Contribute to our culture of C-I-CARE. • Promote a strong culture of safety within the organization. • Collaborate with cross-functional teams at University HealthCare Alliance and Stanford Health Care Supply Chain to support defined goals and objectives. • Foster and build positive relationships with leadership, teams, vendors and customers, in all functions and at all levels of the organization. • Communicate positively and interactively, with proactive, transparent, and effective messaging. This is the essence of relational coordination at the task level.

What you will do
  • C-I-CARE (1, 2)

  • Executes world class practices of service and patient care in support of C-I-CARE standards.

  • Uses C-I-CARE templates and the following components for all communication with patients and staff:

  • CONNECT with people by calling them their proper name, or the name they prefer (Mr., Ms., Dr.)

  • INTRODUCE yourself and your role

  • COMMUNICATE what you are going to do, how long it will take, and how it will impact the patient

  • ASK permission before entering a room, examining a patient or undertaking an activity

  • RESPOND to patient’s questions or requests promptly; anticipate patient needs

  • EXIT courteously with an explanation of what will come next

  • Business Resiliency (1, 2, 4):

  • Promote and protect the health and safety of Patients, Staff, Employees, and visitors always.

  • Coordinates with SHC Supply Chain and UHA clinical site management to ensure efficient and timely delivery of shipments.

  • Ensures the quality of all services provided meets the organization standards.

  • Communicates with suppliers, retailers, and customers to achieve profitable deals and mutual understanding.

  • Provides aggregate Inventory Management to ensure appropriate controls implemented, individual operating decisions are achieved at optimum cost, and keep carrying costs to lowest level possible.

  • Identifies Supply Chain risks within the company’s business operations, communicates findings and solutions timely, and monitors until completion.

  • Incorporates follow-up procedures to ensure all requests/needs have been completed to satisfaction;

  • Supports tracking of vendor management, as needed.

  • Supply Chain Logistics (1, 2, 4):

  • Perform shipping and receiving functions as needed.

  • Dispatch shipments, and coordinate with Stanford Enterprise freight carriers for efficient delivery of shipments and troubleshoot any issues.

  • Establish and maintain relationships with all logistics vendors.

  • Track and trace shipments and provide updates to Operations.

  • At a central location, handle shipping and receiving functions deliver shipments to stock rooms and clinic locations at this site.

  • Conduct inbound and outbound services organization-wide and arrange for stocking of materials and equipment to ensure they meet the needs of the organization.

  • Review purchase orders and delivery documents to ensure accuracy.

  • Making special delivery arrangements as necessary.

  • Support ad hoc operations and logistics projects as needed.

  • Investigate claims and discrepancies, identifying root causes, and initiate corrective action.

  • Responsible for performing the physical or administrative tasks for storing and distribution of supplies.

  • Respond to urgent orders as needed.

  • Prepare accurate reports and appropriate metrics for upper management.

  • Equipment Management, Medication Management, and Recalls (1, 2, 4):

  • Facilitate procurement delivery logistics, monitor disposal processes of old equipment, assist in issue resolution, and track until completion.

  • Ensure medications are received timely, and placed in cold storage, as needed.

  • Assist with recall notices from equipment manufacturers as needed. Be able to use menu driven software and follow technical directives to determine if equipment is involved in recall. Coordinate with technical teams for their completion per the recall notice.

  • Assist management with medication and supply recalls as needed.

  • Inventory Management

  • Manage, support, and assist with flow of goods through a clinic and make recommendations for storage space optimization.

  • Supply and support the balancing of demand and supply of goods and services.

  • Manage inventory management including bar-code technology for inventory control and monitoring of supply/medication expiration dates.

  • Effectively cope with the forward and reverse flows in the supply chain.

  • Assist with managing upstream supplier exchanges and downstream customer demands.

  • Actively participate in general inventory procedures, including regular cycle counts.

  • Responsible for providing internal forecasts regarding inventory management.

  • Inspect and sign off on product quality in inventory.

  • All other duties as assigned including department-specific functions and responsibilities (1, 2):

  • Performs other duties as assigned and participates in organization projects as assigned.

  • Adheres to safety, P4P’s (if applicable), HIPAA and compliance policies.

Education Qualifications
  • Associate's Degree in Supply Chain Management, or relevant technical field, or equivalent practical experience. Required

  • Bachelor's Degree in Supply Chain Management. Preferred

Experience Qualifications
  • 2+ years to 3 years in practical experience with supply chain management and inventory control technology platforms. Required or

  • Equivalent combination of education and comparable experience.

  • Have a working knowledge of freight elevators. Required

  • Experience interacting with regulatory agencies. Required

Required Knowledge, Skills and Abilities
  • Passionate and previous customer service experience.

  • Ability to work independently with little direction.

  • Ability to manage multiple projects and daily responsibilities successfully.

  • Computer-savvy with a working knowledge of logistics software (ERP).

  • Strong decision-making and prioritization skills.

  • Knowledge of the Purchase Order (PO) lifecycle (Requisition, Purchase order, Receipt and Invoice).

  • Understanding of inventory management theory (RGA’s, transactions, cycle counts).

  • Outstanding organizational and coordination abilities.

  • Excellent communication and interpersonal skills.

  • Keen on working in a fast-paced environment, flexible and adaptable, to developing processes that make the supply chain more efficient and organized.

  • Proven ability to remain calm under pressure in an open office environment.

  • Proficient verbal and written communication skills, and ability to use the MS Office Suite.

Base Pay Scale: Generally starting at $28.56 - $36.41 per hour
