Job description
The primary job duties of the Logistics Coordinator at In-Place Machining Company include:
Complete logistics - ground and air transportation, and lodging for IPM personnel. This includes investigating site location, schedules and rates and helping to determine the best alternatives. The most significant duties include:
- Airline reservations through Concur and airline internet websites.
- Car and or other ground transportation.
- Hotel / lodging arrangements.
- Processing of security site access requirements both private and governmental.
- Processing of work permits and visas for international destinations.
- Issuance of company cell phone, camera and I-Pass.
- Determining through CDC and Travel Clinic health hazards for specific job sites.
- Determining if cell phone coverage is available at specific job site locations.
- Providing specific directions and maps to/from airport, hotel, job site locations
- Coordinating the logistics and schedules with the customer point of contact.
- Coordination of completed job packets to respective job sites when traveling remotely.
- Emailing of Travel Checklists and other documents to technicians.
Coordination of freight and other equipment transportation to and from the job site including:
- Creating BOLs for each shipment.
- Arranging freight pickup and delivery with service providers and customer point of contact.
- Obtaining estimates to insure that we get the best value – price vs. schedule vs. method of transportation – when scheduling our freight shipments.
- Providing instructions and issuance of ‘drivers log’ when IPM transports equipment.
- Tracking equipment to be sure that it is returned to the respective location.
- Coordinating with customers and their agents for customs clearance of international shipments.
- Commercial Invoices, packing lists, Carnets, equipment photos and lists as required.
Accounting duties including but not limited to:
- Creating each expense report file for each technician for every job in Concur.
- Creating all purchase orders for logistics activities.
- Working with the Accounts Payable department to verify that invoices for services rendered are accurate and correct.
- Tracking outstanding credits and unused airline tickets for all IPM personnel.
- Tracking distribution of company cell phones, cameras and I-Passes.
- Working with GM to account for and manage distribution of cash advances and creating an IPM cash advance receipt for each advance.
- Flagging high volume purchases., ie international airline tickets to make sure that technician company credit card has adequate credit available.
Preparing travel related support documents such as:
- Creating and completing the Travel Checklist
- Time Sheets
- Report of On-Site Work
- Daily Safety Meeting Review
- Expense Money
- Expense report fax cover page for Concur reporting with submission envelope for mailing.
- Work Scope Acceptance
- Copy of IPM quotation, drawings and technical data defining work scope.
- Safety training documentation as needed or required.
- Customs documents and Commercial Invoices for International projects.
Performing logistical administrative requirements such as:
- Scanning and filing all logistic documents on the file server.
- In-processing new hires travel profiles and monitoring current IPM personnel.
- Assistance with IPM company approved clothing / uniforms for all employees.
- Applications and processing of passports and monitoring expiration dates.
- Monitoring and scheduling of immunizations for IPM personnel.
- Monitoring expiration dates of drivers licenses for IPM personnel.
- Scheduling employee drug screenings.
Other duties include but are not limited to:
- Assisting with answering the phone.
- Keeping the logistics office and common office areas clean, neat and organized.
- Other office support as required.
Job Type: Full-time
Pay: $20.00 - $24.00 per hour
