Job Purpose:
Responsible for assisting shop management with all shop operations to ensure efficient and cost effective service to the Halvor Lines Fleet. Included but not limited to; reviewing and processing vendor invoices in a timely manner and assisting in maintaining equipment permits, titles, licenses and fuel card program.

Essential Duties & Responsibilities:

· Assist in scheduling Rosemount shop workload.

· Assist over the road drivers with mechanical breakdowns and questions regarding service and maintenance.

· Create and complete Rosemount repair orders in TMT.

· Coordinate repairs with drivers, mechanics and vendors.

· Monitor truck/trailer PM schedules.

· Coordinate repairs with drivers, mechanics and vendors.

· Receive, scan and index Vendor invoices into EBE for data entry and processing in TMT (maintenance software).

· Confirm scans are accurately indexed and processed within EBE and TMT.

· Review parts, inventory, RO’s and Vendor RO charges information entered into TMT by Maintenance personnel (internal audit) and compare to external documents (invoices and work orders) process to produce accurate cost reporting for Halvor Lines.

· Resolve discrepancies and errors found in Vendor Invoices and TMT and provide instructions to assist in preventing similar errors in the future.

· Onboarding new vendors, communicate with accounting throughout setup to ensure accuracy.

· Maintain permits, titles and licenses for tractors and trailers.

· Acquire permits

· Process annual renewals of IRP, IFTA, UCRA, OS, State and Province permits and licenses for the company’s fleet.

· Order new plates and registrations. Replace lost plates.

· Process transponders for each tractor, enroll and maintain with Bestpass, Norpass and Prepass for Company fleet which includes custom transponders for designated tractors.

· Process replacement transponders for designated tractors.

· Process permits for required states and maintain with additions and deletions.

· Maintain complete equipment list for tractors and trailers.

· Maintain complete copies of all registrations, permits and required paperwork on file.

· Assist Accounting personnel and Shop personnel with equipment information on trade cycles.

· Process additions and deletions for registrations, permits and transponders.

· Inform drivers of new permit requirements.

· Issue fuel cards as needed and assign in dispatch system.

· Assist drivers and office staff with any issues that arise.

· Maintain fuel card accounts and cancel as needed.

· Ability to achieve goals set forth by management.

· Attends work consistently and punctually. Requests time off per policy.

· Other duties as assigned by supervisor.

Education & Experience:

· High School Diploma or GED.

· Prefer two years prior related experience.

Knowledge, Skills, & Abilities Required:

· Excellent interpersonal and communication skills both verbally and written.

· Ability to work well with others.

· Experience with accounting software preferred.

· Must be flexible and patient in dealing with changing situations.

· Ability to problem solve in a timely manner.

· Must be proficient with computers and relevant software applications and general office equipment.

· Strong organizational skills.

· Must be able to multitask and prepare to manage a wide variety of responsibilities that can change on a daily basis.

Physical Demands and Working Conditions:

· Requires sitting for long periods of time (60-80%).

· Requires occasional movement about the office (10-30%).

· Requires use of the telephone system.

· Requires corrected vision and hearing to normal range.

· Requires constant ability to communicate clearly.

· Requires ability to work in front of computer monitor and keyboard for extended periods of time.

· Must be able to perform effectively under pressure.

· Majority of work performed at a desk.

Job Type: Full-time

Pay: $18.00 - $24.00 per hour
