The Management Assistant is responsible for providing technical and administrative support in meeting the organization's strategic plan, mission, vision and values. The primary work of this position is technical and administrative support to professional disciplines and the business operations of the organizational unit.
The work involves identifying interrelationships, and taking action consistent with the objectives of the function or program supported.
RESPONSIBILITIES:
- Provide a variety of administrative function such as researching and preparing narrative and statistical material in a wide variety of formats in support of administrative and management function of the office.
- Provide advice and information on administrative matters in accordance with established regulations, policies and procedure to personnel of all level.
- Assist in establishing and maintaining office management. Implements standard operating procedures to maintain smooth operation within the office and makes recommendation to the supervisor concerning development and revision of procedure.
- Uses computer system to create and delete files, search files and records, store and extract materials using a variety of software packages including word processing software, excel, powerpoint, etc. Maintains office calendar, scheduling meeting and de-conflicting as required.
- Makes preparations for meetings or site visits to be attended by personnel within the business or support line. These preparations includes assembling necessary records, briefing materials, reports or other documents, notifying attendees, scheduling facilities, equipment, transportation, or other arrangement as required.
- Holder of government purchase card for obtaining general office supplies. Facilitates the use of office equipment, repairs to same using government contracted vendors.
Must have experience in:
Microsoft Outlook, Word, Excel Spreadsheets, Powerpoint
