Overview:
The Client Operations Manager collaborates closely with strategy and activation, finance, accounts payable and reconciliation staff to improve and streamline process, oversee, and manage internal/external financial and staffing, reporting along with system and tools access for team members.
Role Objectives:
Examples of projects that the Manager is either responsible for, or has a collaborative part in ensuring excellence:
Systems & Tools
- Knowledge and use of media software MediaOcean: Mbox/Prisma, and Global plans as well as internal tools Lion Box, Authorize, Google drive and Altair
- Day-to-day internal system/technology access authorization
Process
- Create or update processes for billing, reconciliation, time reporting, forecasting and trainings on updates
- Manage the monthly billing approval and client invoice submission
- Meet weekly with investment teams to ensure the proper recording and reconciliation of vendor invoices
- Prepare budget and forecast reports and distribute internally
- Monitor vendor payments and make requests for timely payments to key vendors and in response to vendor requests to ensure timely payment
- Monitor internal Authorize system to ensure month end compliance by all strategy teams
- Assist in cascading operational communications to the team and providing shared folder access to work products and key information
- Provide feedback for process improvement and lessons learned as related to assigned tasks
- Assist with the client team access to all relevant internal tools and email distributions
- Assist with collection of hours reporting and compiling of data
- Oversee Associate daily activity and career development
Onboarding
Support a Ways of Working compliance and continue to improve/evolve process of new hire orientation and navigation (i.e. systems and tools training, client/account background, timesheet entry, IT hardware, etc.)
Accountability
Support Client Leadership and Operation teams in the compliance of client fiscal and system stewardship as directed while maintaining an eye for detail and understanding the interdependencies across the various tasks assigned. Support the strategy and activation teams with their compliance of processes established for client deliverables.
- 3+ years of related experience
- Experienced in designing and implementing new process
- Experienced Microsoft Excel and Google Sheets user, knowledgeable of pivot tables, v-lookups, and formulas relevant to budget and billing tracking
- General Media Methodology knowledge
- Billing experience, specifically in media, is a plus
- High detail and collaboration skills required; able to accurately track high volumes of data and manage timely status updates with multiple internal stakeholders
- Exercises discretion when presented with sensitive and/or confidential information (e.g. financial information, personnel information, etc.)
- Consistently demonstrate a desire to learn through proactivity and initiative
- Solid written and communication skills
- Strong critical thinking and creative problem-solving skills
- Detail orientated with strong independent project management and time management skills
- Demonstrated ability to navigate technology platforms
