Overview

The Medical Operations Associate will support the systems and inventory needs for the Medical team, in collaboration with Finance for monthly reporting and reconciliation needs. This is a temporary role, working approx. 10-15 hours a week with some flexibility (Monday – Friday) which is a 100% onsite position.


Duties and Responsibilities

  • Review purchase orders generated by the inventory management system (Cubex).
  • Place orders (Cubex and non-Cubex) approved by management.
  • Update prices in Cubex to match order prices and receive orders into Cubex.
  • Scan packing slips with receiving notes to Finance.
  • Download restock reports and enter invoice numbers and cost adjustments into Cubex.
  • Download the CapOne transaction spreadsheet and enter invoice numbers and restocking notes.
  • Code and submit (1) Cubex expense reports in AP software (Concur) weekly (2) Cubex and Non-Cubex invoices in Concur weekly and (3) Non-Cubex expense reports in Concur monthly.
  • Make timely credit card payments to vendors not on auto-pay.
  • Partner with Finance for month end inventory count and Cubex reconciliation (update quantities in Cubex and resolve reconciliation questions).
  • Update systems as needed based on inventory transactions.
  • Other job duties assigned as needed.

Requirements

  • Must be extremely detailed orientated and exceptional with working with numbers.
  • Proficient with databases and systems a must.
  • Excellent verbal and written communication skills.
  • Ability to be successful in a fast-paced environment meeting deadlines throughout the month.

Work Days and Hours
Hours are flexible and based on organizational need. Hours may include days or evening hours, weekdays or weekends, depending on staffing needs.
