Job Summary
The Assistant Registrar maintains confidential archival and permanent collections files, manages photography, and processes permanent collection image reproduction requests. This position reports to the Registrar and Collections Manager and works closely with the curatorial and art handling staff.
  • Maintains digital and physical exhibition and collections archives.
  • With Register, manages the Museum System database and provides support to staff.
  • Manages permanent collection and exhibition photography. Responsible for editing, resizing and uploading images to database.
  • Assists in collection care, including but not limited to, database and physical file upkeep, proper collection handling, display, storage, packing, and shipping.
  • Maintains collection inventory, including art moves and storage locations, and oversees local art shipments as needed
  • Assists Registrar in preparing loan agreements, crating, and shipping arrangements for permanent collections loans and for loans for exhibitions at BCMA and traveling exhibitions when necessary. Oversees installation and de-installation of exhibitions at BCMA and traveling exhibitions as needed; acts as courier when needed
  • Manages all incoming requests for photographic reproduction of artworks in the permanent collections.
  • Oversees all copyright permissions and procedures for the permanent collections and temporary loans, including permissions for marketing materials, scholarly articles, commercial merchandise, and exhibition catalogues.

Hourly range for this position is expected to be: Minimum $22.00 – Maximum $25.00/ per hour (This role is eligible for overtime)

Education/Skills Requirements
Required:
  • High school diploma or equivalent
  • Knowledge of current best practices in museum collections cataloguing
  • Strong written and oral communication skills.
  • Experience with Microsoft 365, photo editing software, and collections management software require



Preferred:
  • Bachelors or Masters degree in museum studies or art history preferred, or equivalent combination of education and experience.
  • Knowledge of TMS, TMSCollections, and/or Embark systems
  • Knowledge of Crystal reports

Experience Requirements and/or Equivalents
Required:
  • 3+ years of collections management, conservation, installation and/or registration experience in a museum, gallery or fine art shipping setting



Standard Work Days and Hours
  • This position is a part-time, year round, benefits eligible role working 24 hours per week during Museum office hours (Monday – Friday, 8:00 a.m. – 5:00 p.m.) on a specific schedule to be determined. Occasional evening and/or weekend work is required.
