CLASSIFICATION: Full-Time, 1 FTE

FLSA Status: Non-Exempt

LOCATION Primary Site: Main office - 410 NE 18th Ave. (with travel to other local office sites as need)

COMPENSATION: $18.33 - $20.16 an hour DOE

Latino Network seeks a bilingual, mission-driven professional with bicultural proficiency and a customer service approach to provide administrative support. In this role you will support our community by:

  • Provides front of office reception support at the main office by greeting and welcoming visitors.
  • Manages the general calendars for office reservable spaces including conference rooms, and assists Agency Admin Leadership and program departments in scheduling meetings and appointments as needed.
  • Answers main line incoming calls, assists with routing voicemail and general agency emails (info@latnet.org) to the relevant parties.
  • Maintains general office up-keep including common spaces (reception area, workroom, kitchen, open desk stations and conference rooms) sanitizing, organizing, plant watering and stocking supplies.
  • Assists the Administrative Operations and HR department with orders such as new hire gear, staff badges, business cards as needed.
  • Assists the Operations and HR departments with the Agency Staff Recognition card program.
  • Processes and distributes daily postal mail (incoming and outgoing), including scanning and emailing to remote staff and notifying staff to pick up as needed.
  • Assists with packaging checks as needed, mailing, receiving, and distributing packages.
  • Assists with all staff meetings coordination for Admin Dept. led meetings and annual Inservice administrative support as needed.
  • Cross train to provide coverage to operations departments as needed, not limited to HR, Finance, and Executive Assistant.
  • Assists with filing maintenance and projects as assigned.
  • Occasional travel to pick up meeting materials, supplies, or documents, or to other Latino Network offices as needed.
  • Assist with editing, updating and translating documents as needed: English to Spanish.
  • Assists in the maintenance of office equipment including repairs, and ordering supplies.

  • Proficient Bilingual (Spanish and English) writing and speaking communication skills required including, phone and email correspondence and the ability to communicate effectively and remain calm and courteous under pressure.
  • One-year related admin assistant/office support experience and/or training; or equivalent combination of education and/or experience. Combination of education and training in relation to past experience with administrative customer service and office reception support from inside and outside of the United States are considered equally. Transferable skills and lived experience will be considered.
  • Ability to greet guests in a professional, friendly hospitable manner following social distancing protocols and procedures.
  • Ability to perform job duties proficiently while upholding confidentiality at all times.
  • Communicates effectively at all levels.
  • Must be able to work independently with initiative and minimal supervision.
  • Must be able to drive to and from work location, including travel to pick up materials as needed, and to and from other Latino Network locations.Must be proficient in database management, Excel, Word and PowerPoint.
  • Excellent clerical and organization skills.
  • Outstanding interpersonal team, and customer service skills.
  • Must be customer service driven and have the capacity to correspond and work respectfully with other members of the agency and community members, including those from diverse cultures or backgrounds or those who speak limited or no English.
