The Office Assistant performs specific responsibilities as assigned and provide a variety of assistance to firm administrative departments, attorneys, paralegals, secretaries and other colleagues as needed and requested.
Essential Duties/Responsibilities:
- Complete external errands, walking and driving, as requested.
- Process mail according to set procedures.
- Restock supplies for kitchens and supply rooms.
- Facilitate setups, cleanups, and general cleaning of conference rooms.
- Maintain orderly appearance of all common areas within the office.
- Provide assistance to attorneys, paralegals, legal assistants and other office personnel with clerical duties, which may include basic Word Processing, database entry, filing, organizing and assembling, answering the phones or office support duties.
- Receive, process, sort, scan and distribute all incoming USPS mail, UPS, FedEx, Express and hand deliveries. Process outgoing mail and overnight packages. Follow office-specific procedures for incoming and outgoing mail from all sources.
- Complete external errands, which may be driving or walking, by drop-off and/or pick-up. Errands may be up to 140 miles from the office so familiarity and use of GPS is necessary. Must have a reliable vehicle, insurance, and a clean driving record.
- Maintain cleanliness of kitchens, including restocking cupboards and refrigerators, loading and emptying dishwashers, and cleaning counters.
- Maintain copy rooms and printers, including filling copiers with paper and maintaining inventory of office supplies.
- Complete set-ups and clean-ups of conference rooms, which includes assistance with video conference hook-ups, maintaining up-to-date visitor wi-fi password flyers, ordering and delivery of meals, making copies for conference room participants, and any other necessary requests.
- Assist as needed with projects, administrative work and other duties as required to support and aid in the workloads of attorneys, paralegals, secretaries and other colleagues throughout the firm including copy jobs, creating notebooks, assembling and sending, by method requested, large outgoing projects to multiple recipients, and scanning and sending documents.
- Assist with other duties and projects as assigned.
(The firm office location will dictate which duties/responsibilities are applicable and required for this role, therefore some duties may not apply or additional duties may apply.)

Job Qualifications:
- High school education with 2+ years office/clerical experience.
- Working knowledge of personal computers; knowledge and skills in MS Outlook, Word, Excel, PowerPoint and Adobe Acrobat.
- Knowledge of basic office procedures and equipment (i.e., copier, scanner, telephones, etc.).
- Aptitude to learn new computer programs.
- Excellent communication and interpersonal skills to deal with a wide variety of people inside and outside the firm.
- Excellent organizational skills.
- Ability to work effectively under pressure to meet tight deadlines.
- Ability to work effectively independently and as part of a team.
- Excellent judgment, problem solving, professionalism and decision-making skills to handle a variety of responsibilities under general supervision.
Physical Requirements:
While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for expended period of time; manipulate (life, carry, move) weights of at least ten (10) pounds; have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly under the speech of another person.

Work Environment:
Professional office atmosphere; exposure to computer screens. Sedentary work that primarily involves sitting or standing for prolongers periods. Position may require occasional off-hour meetings and events.

CO Salary Range - $14.13-23.55 per hour. A discretionary bonus may be available based upon performance.
