Job Duties:
OFFICE ASSISTANT II duties and responsibilities include, but are not limited to:
This position is an Alpha I position that works within the Landscape Management Division's Customer Service and Support Center, the central hub of the Division. The individual must be committed, and have the ability, to provide exceptional customer service to both internal and external customers, demonstrating skill inworking effectively with people in various situations with the ability to effectively and cordially communicate with other city employees, customers, and the general public. Establish and maintain effective working relationships with supervisor ,co-workers, and public. Carry out procedures and decisions, but seek guidance when uncertainties arise. Adjust routine procedures to accommodate simple challenges; and adjust to typical work stressors (deadlines, challenging contacts, etc.).
Specific responsibilities include:
- Receive and process a large volume of requests for information and services via telephone, e-mail, or in-person
- Provide administrative support to the Division in various capacities
- Disseminate information
- Maintain bulletin boards
- Use computer and office software such as Microsoft Office and Excel
- Prepare and type routine, difficult and/or confidential correspondence and reports
- Proofread documents for accuracy and adherence to city-wide standards
- Read and route incoming mail
- Take meeting notes and transcribe to acceptable format to include a Division-wide newsletter in Publisher
- Utilize various databases such as Hansen to process requests for service and Care MC to report employee accidents
- Prepare replies to correspondence in accordance with established procedures
- Sort, index, and file material alphabetically, numerically, and geographically
- Create and maintain cross-referenced office files and a variety of other records
- Maintain conference room calendars
- Operate standard office machines (such as copier and calculator) and assist personnel with general troubleshooting assistance on computers, copier, and other office machines

Minimum Requirements:
MINIMUM QUALIFICATIONS:
High school or GED plus one year (1) of experience in fields providing the required knowledge, skills and abilities, such as clerical or office assistant; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
SPECIAL REQUIREMENTS:
All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.

Preferences:
- Excellent oral communication skills
- Experience submitting service requests utilizing Hansen or a similar work order database
- Experience receiving and processing a large volume of requests for information and services
- Experience answering multi-line phones
- Experience taking and transcribing complex meeting minutes
- Strong proofreading, organizational, and customer service skills
- Proficiency in Microsoft Office, especially Excel and spreadsheets with ability to compile and organize data for reports
- Understand general landscaping terms

This is an Alpha I position which may require reporting to work during periods of emergency or inclement weather, regardless of the City's operational status.
