Who we're looking for:

We have an exciting opportunity for an Office Assistant/ Recruiting Assistant to join The Douglaston Companies. This is a dynamic opportunity to support various functions in the company, which will include human resources, risk and insurance. This role will also have oversight of the office management function. We’re looking to build the best teams possible with highly motivated and engaged employees. Essential duties and responsibilities:

  • Review, order and monitor all supplies for main offices; negotiate pricing; stock and distribute supplies.
  • Monitor office switchboard and route calls.
  • Retrieve messages from voicemail and forward to appropriate personnel.
  • Manage the mail, postage and package routing functions for the offices.
  • Maintain printers and copiers; call for maintenance as needed.
  • Assist Human Resources with recruiting including candidate screening, reviewing resumes and creating offer letters.
  • Assist Risk Management department with calendar, expense reports. Coordinate off-site trade safety pre-plan meetings, staff safety training, company depositions, mediations, trials, as needed. Ensure licenses & designations are up to date.
  • Other duties/ projects as assigned.

Qualifications, skills, and abilities:

  • Minimum of 2 years in an administrative capacity, strongly preferred.
  • Must have excellent communication skills.
  • Ability to organize, prioritize, multi-task, work independently.
  • Must maintain confidentiality.
  • Knowledge Office Suite.

Salary Range:

$40,000 - 45,000k/yr.
