The role of the Office Coordinator

The Office Coordinator provides general administrative and clerical support to the location's Director of Operations and Management team. Duties will include preparation of written communication, handling confidential information, telephone reception, internal customer service, report preparation, and project assistance as needed.


SHIFT:
Part-Time, Monday - Thursday, 8:00 am-4:30 pm

  • Completion of a high school diploma or equivalent required
  • A minimum two years of experience in an Office Coordinator or Executive Assistant role
  • Associate degree or higher a plus
  • Experience in a Pharmaceutical or cGMP environment is helpful
  • Proficient computer skills including intermediate or greater knowledge of Microsoft Office (Word, Excel, and PowerPoint). Microsoft Access knowledge and/or experience is helpful
  • Professional customer-focused verbal communication skills including the ability to work well with all levels of employees as well as customers and clients
  • Effective written communication skills including the ability to draft and edit documents
  • Ability to work independently and demonstrate good organizational and time management skills
  • Ability to multi-task to manage workload with occasional changing priorities, deadlines and interruptions
  • Ability to prioritize workload and keep projects on task to meet established deadlines


What Your Day-to-day Will Look Like

  • Safecor Health is a fast-paced, high-energy workplace with ample opportunities to learn new skills each day.
  • Prepare routine operational-related reports
  • Provide clerical support to the Quality Assurance team, scanning and grading assessments
  • Provide operational support including, organization of communal areas, overseeing inventory and distribution of staff PPE, and inventory of first aid materials
  • Event planning and support including employee appreciation meals
  • Order, and maintain inventory of, supplies for office, manufacturing floor, and break room
  • Review invoices for accuracy and communicate with Accounts Payable to ensure timely payment
  • Provide internal customer service to staff and direct questions to appropriate resources
  • Monitor inbound telephone line and provide good customer service to external vendors and partners
  • Receive and distribute incoming mail to addressees
  • Provide in-person reception to greet visitors and clients
  • Act in accordance with internal regulations when receiving regulatory agencies at the facility
  • Coordinate maintenance of office equipment including copiers/printers, water coolers, and lockers
  • Manage access badge assignment and functioning
  • Inventory and maintenance of staff uniforms, including ordering, removal, and laundry
