Position Summary:

This position is responsible for providing reception and general office coordination while ensuring a professional and positive experience for all who call or visit the Support Services Office. This position is also responsible for providing administrative support to the Management Team.

Key Accountabilities:
  • Answers incoming calls, screens and directs calls to appropriate contact or voicemail.
  • Greets and assists visitors. Issues building badges and/or visitor badges to employees, visitors, etc.
  • Effectively manages office calendar, meetings and events so that working days are efficiently organized.
  • Handles administrative tasks related to internal meetings and events, including developing a system for and managing internal conference and training room bookings, food and beverage arrangements, maintaining cleanliness, etc.
  • Oversees the office commitments to sustainability, including efforts to reduce, reuse and recycle. Works in concert with the sustainability committee.
  • Handles administrative tasks related to external meetings, including sourcing external meeting space, contract negotiations, food and beverage arrangements, etc.
  • Handles all kitchen and general office supply ordering and maintenance. Monitors and maintains inventory.
  • Maintains all office equipment maintenance.
  • Organizes and distributes incoming correspondence (i.e. faxes and mail) and prepares outgoing mail, including bulk mail and FedEx.
  • Signs for deliveries and notifies appropriate party.
  • Maintains the reception area, conference and training rooms and employee break areas, keeping them cleaned and stocked, ensuring company branding is upheld.
  • Oversees Staples Account Management, including but not limited to the setup of new accounts, cancelling accounts, resetting passwords, developing and maintaining a positive relationship with the representative.
  • Assist with travel arrangements as needed.
  • Manages applicable company sports tickets, local discount tickets, etc. Participates in the planning of company-wide employee event.
  • Maintains company location and departmental lists.
  • Communicates location changes to the Support Services and Operations groups.
  • Maintains monthly unit safety training reports, Unit Safety Minutes and Food Safety Inspection identifying any high risk working with the VP of Nutrition Services.
  • Coordinates all health inspections and notifies all relevant parties immediately. Conducts risk assessment and follows up immediately on potentially high risk issues with the appropriate management team members. if they have more than on critical since I am not always at the office.
  • Maintains files of all RFPs.
  • Assists with marketing department projects as requested.
  • Assists departments with projects as requested.
  • Other tasks as assigned.
Minimum Requirements:
  • High school diploma or GED
  • Associates degree or 3 years related experience/education preferred

  • Demonstrated high levels of customer service standards providing excellent customer service via phone, electronic (email), face-to-face, etc.
  • Exhibits a positive and energetic demeanor.
  • Highly organized and able to prioritize tasks and assignments.
  • Excellent written/verbal communications skills.
  • Ability to work and communicate effectively with all levels of co-workers, clients and other external contacts.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Self-motivated and able to take directions from others.
  • Ability to maintain confidentiality of highly sensitive information.
