The WKU Department of Physics and Astronomy is seeking applicants for a full-time Office Coordinator. This person will provide primary office support for a department of full-time faculty/staff, part-time faculty/staff, student workers, department majors/minors and graduate students.

Responsibilities will include:

  • Coordinating the hiring process, and payroll for part-time faculty, staff, and student workers
  • Working with college staff to coordinate the processing of deposits and receipts, purchasing, tracking budgets (including multiple external grants and contracts), and overseeing all department accounts
  • Record-keeping for faculty and student travel
  • Coordinating the calendar of the department chair
  • Serving as webmaster for the department
  • Hiring and supervising student office workers
  • Working with the department chair to develop, input, and maintain the department's schedule of classes
  • Overseeing the department's events calendar
  • Communicating with prospective students and scheduling visits and tours.
  • Overseeing office operations and maintaining office supplies and equipment
  • Coordinating all publicity and promotional efforts, including advertising, social media, and the creation of promotional and recruiting materials.

Knowledge and Skills Considered Essential for Success:

  • Ability to establish priorities and work independently
  • Organized and detail-oriented, with the capacity to work efficiently and accurately in an environment with frequent interruption
  • Excellent written, verbal, and interpersonal communication skills, customer service skills, problem-solving and decision-making skills, telephone and e-mail etiquette
  • Ability to work in a team environment and interact professionally with a wide spectrum of individuals, including faculty, staff, administration, other university offices, and vendors
  • Ability to operate office equipment such as scanners, printers, copiers, multi-line phones, etc.
  • Proficient in Banner, Microsoft Office and Google Docs
  • Ability to learn and operate multiple software systems

Job Requirements:
  • Two-year post-secondary education, plus 2 years related administrative experience.

Salary Range: $15.38 - $17.44/hr
