Job Summary
Oversees the onboarding and scheduling for Physician Enterprise (NCPS). Ensures scheduling interviews, travel arrangements, and preparation of detailed interview agenda for candidate visits for an excellent candidate experience. Assists with onboarding process, which includes processing fingerprints, verifying I-9's, and ensuring all other onboarding paperwork is completed with accuracy and in a timely manner. Ensures timely scheduling for candidate visits and serves as the liaison with NCPS for scheduling and onboarding, audit of employee files, SOP maintenance and process improvements, while maintaining a high level of customer service. Serves as a liaison to NCPS and Physician recruitment to include full Resident and Fellow hiring, onboarding, orientation, etc. Provides support to recruitment team in sourcing, recruiting, and onboarding for positions as needed and assigned.
Job Specific Duties
- Provides exceptional customer service to all customers and co-workers, as measured by the customer service survey.
- Provides concierge type service for key physician applicants specifically for those traveling. Coordinates candidate visit including travel arrangements. Ensures the best candidate experience, as measured by comments/references from candidates.
- Performs high volume of interview scheduling with a 3-5 business days standard turnaround time, ensuring the best customer experience is provided and agendas are complete & accurate.
- Collaborates with support team to ensure timely scheduling and accurate and timely onboarding is done.
- Tracks weekly and monthly scheduling metrics. Ensures pending scheduling volume is managed and up to date.
- Compiles weekly/quarterly reports as needed on employment activity; tracks, trends, analyzes, & reports metrics such as out of state travels, time to interview, etc. recommending & implementing improvements if needed.
- Collaborates with the team on interview spreadsheet for smooth/effective handoff and follow-up of all steps of the interview process. Communicates to the hiring managers, Recruiters, and Talent Managers of any possible complications.
- Responsible for onboarding functions for physician practices/physicians, and collaborates with support team to ensure weekly onboarding tasks are completed (background check, fingerprinting, etc.)
- Collaborates on the compliance from team for fingerprinting processes, I-9's, etc.
- Responsible for Resident, Fellow, and Psych intern hiring, onboarding, and orientation.
- Responsible for high volume sourcing, interviewing & screening of candidates to maintain a pipeline of qualified available candidate database for high turnover & hard to recruit positions as assigned.
- Accurately and effectively maintains positions assigned within the applicant tracking system (ATS),and manages employee referrals/candidate pipeline for effective recruitment as assigned.
- Actively sources, screens, interviews and networks for passive job seekers as assigned.
- Exercises sound judgment and independent decision making throughout hiring process including; influence on hiring decisions for best fit, appropriate use of sourcing strategies/resources, etc.
- Promotes NCHS at functions such as job fairs, university/college career days, and career events targeted for Physicians.
Qualifications
Minimum Job Requirements
- 1-3 years of high customer service and volume office experience (hospitality, staffing agency, call centers, etc.)
- 1-3 years of HR experience
- Experience with Applicant Tracking System (ATS)
Knowledge, Skills, and Abilities
- Advanced level MS office – Outlook, Excel, Word and PowerPoint; ability to create a word document, insert pictures, work on tables, etc; ability to create Excel reports with charts, graphs, etc.
- Excellent proactive communication skills (writing & editing) with excellent follow through and interpersonal skills.
- Ability to work in a consistent pace with high attention to details for error free data entry.
- Strong interpersonal skills and critical thinking skills.
- Ability to demonstrate excellent customer service behaviors (proper phone etiquette, friendly demeanor, professional appearance, resourceful, conflict resolution driven, etc.).
- Ability to use social media networks for physician marketing initiatives.
- Possesses urgency to drive results.
- Able to maintain confidentiality of sensitive information.
