Operation Executive – Chicago
Job Purpose
Our Operation Executives act as the key coordinator for our cold chain logistics service and actively work and communicate with our customers, drivers, airline agents, custom brokers and internal teams to ensure timely and safe shipments of bio-pharma products. You will work under a robust quality management system including comprehensive SOP and working instructions as well as fully traceable data recording and documentation. For this Chicago-based role, you can be home-based but will be expected to visit and work out of the office of our agents around the ORD airport from time to time.
His or Her responsibilities shall not be limited to the followings
PRIMARY DUTIES AND RESPONSIBILITIES
l Creates, edits and maintains jobs (Exports /Imports) in the IT system.
l Air shipment route planning/selection and flight booking with AWB issuance
l Orders drivers (ie for delivery / pickup of shipments), checks collected and received shipments, and prepares them, and pre-advises shipments; monitors shipments during the transport and reacts flexibly to any deviation from the plan,update clients the status of their shipments timely
l Continuously checks the shipment notes/status and handles pre-advised shipments; checks the planned departure or arrival times of flights
l Checks the internal debits and credits; recognizes important information and makes immediate use of this information; works securely with all pertinent regulations (TSA / DGR / IATA) as well as the relevant laws and ordinances
l Manages the sorting-area (packaging, supplies, labels, etc) communicates with national and international Shengsheng stations / agents
l Builds and maintains relationships with AND provide necessary training and supervision to contractors / transporters (airlines, handling agents, customs, government agencies, veterinarians, suppliers, etc).
l Performs preliminary actions, specifically: Preconditioning and pre-placement of packaging-materials and cooling-media; Marking and labelling of shipments as per regulations
l Preparation and/or procurement of all necessary documentation (HWB, MAWB, import or export permit, export customs paperwork, live animal certificate, dangerous goods declaration, etc) Checks transport documents as per TSA / IATA-DGR
l Carries out all customs formalities (Export / Import) through the inspection and/or procurement of all necessary paperwork for the import or export (import or export permit, export customs paperwork, etc)
l work with QA to improve service quality including corrective actions and preventive actions to operation process
l gather clients' comment, feedback, or complaints and report to QA to improve customer satisfaction
Requirements
l At least 1 years of relevant experience in a similar capacity
l Possess the "Can Do” Attitude
l Sound knowledge of GMP, GDP, and Cold-chain management
l Exposed to regional vendor management
l Excellent communication skills
l Excellent Time Management and Prioritization skills
