Job description
Function:
The Operations Assistant is responsible for assisting the operations team with multiple functions to ensure the department runs efficiently and effectively. The main functions of the role include data entry, managing purchase orders, sub-rentals, and helping facilitate equipment transportation. This role will work hand in hand with other operations team members on a daily basis to identify and solve inefficiencies.

Essential Duties & Responsibilities
- Supports the operations department by handling data entry and other clerical duties as assigned
- Create and reconcile purchase orders for rentals from outside vendors
- Help create, maintain, and finalize sub-rentals in our inventory system
- Assist warehouse staff with reviewing sub-rented gear and identify/address any issues discovered with appropriate parties including supplying vendor
- Help facilitate logistics for sub-rentals and internal gear allocations with trucking department or outside shipping vendors
- Update internal and over hire or freelancer calendars and/or schedules as assigned
- Maintain Microsoft One Drive of subrental paperwork for each show including all or any of the following: purchase orders, contracts, delivery receipts, and return receipts
- Reconcile technician expenses/reimbursement request reports and add approved costs to project job costing
Experience & Educational Requirements
- High School diploma or equivalent
- Must be organized and detail-oriented.
- Excellent written and verbal communication skills.
- Proficient and accurate data entry and 10-key skills.
- Knowledge of Microsoft/Google office suite software.
- Able to adapt to new data sources/software and changes.
- Highly self-motivated, flexible, and able to work cooperatively with others.
- Experience and working knowledge of production operation and logistic practices.
- Ability to manage hard deadlines and schedules based on company and client needs
- Ability on rare occasion to work late nights, weekends, and holidays as scheduled
Required Knowledge, Skills, & Abilities
- Demonstrate ability to act with integrity, professionalism, and confidentiality
- Ability to organize and prioritze tasks in an environment that is ever changing
- Excellent time management skills
- Ability to work in high pressure /short timeframe situations while maintaining attention to detail
- Basic understanding of Microsoft Office

- Occasional outside or warehouse activities subject to seasonal temperature fluctuations
- Work "on call," as needed including some nights, weekends, or holidays primarily during peak season
- Occasional need to work extended shifts
