The American Accounting Association is seeking a part-time hourly Administrative Assistant to join our team at our Lakewood Ranch Office located in Sarasota County, Florida. This position requires 4 days per week in the office, but days and times are flexible. This is 20 hours a week position.

Job Responsibilities:

Administrative Assistant Job Responsibilities:

  • Provides administrative support to ensure efficient operation of the AAA headquarters.
  • Provides administrative support across all departments.
  • Answers phone calls, schedules meetings and supports visitors.
  • Collect and distribute mail.
  • Ability to take credit card payments over the phone.
  • Assists with scheduling virtual meetings by sending meeting polls and requests.
  • Managing staff events such as ordering food, scheduling catering, décor etc.
  • Performs administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Completes operational requirements by supporting administrative projects and expediting work results.
  • Assists in making needed travel arrangements.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Supports AAA team by performing tasks related to organization and strong communication.
  • Works in AAA headquarters office 4 days a week.
  • Reports directly to the Executive Assistant.

Technical Skills:

  • Knowledge of appropriate software including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and OneDrive), Zoom, and Adobe Acrobat

Education and Experience Requirements:

  • High school diploma or equivalent education required.
  • 3 years of administrative assistant experience required.
  • Excellent written and oral communication skills required.
  • Ability to work successfully with all levels of professionals, both internally and externally.
  • Strong attention to detail required.
  • Valid FL driver’s license and current automobile insurance

Physical Requirements

  • While performing the job duties, the employee is regularly required to see, speak, and hear to exchange information.
  • The employee is frequently required to sit, stand, and walk; reach with hands and arms and use finger dexterity.
  • The employee is occasionally required to bend at the waist, stoop, kneel and crouch; and perform work that involves lifting, pushing, and/or pulling of objects that may be approximately 25 pounds.
