Payroll/Administrative Support
Jack Robinson & Sons, a Bend contractor specializing in excavation, rock crushing and delivery of materials for commercial development, subdivisions, public works projects, and homeowners is seeking a full-time office support employee.
Job Description
Payroll
- Gather and code timecards.
- Enter timecards manually ensuring prevailing wage activity is entered in accordance with BOLI and Davis-Bacon guidelines.
- Import timecards from FieldEase phone application.
- Calculate garnishments and make garnishment payments.
- Create direct deposit file and submit, via online banking.
- Prepare and submit weekly Certified Payroll Reports.
- Calculate and submit employee and employer contributions to retirement plans.
Accounts Payable and Accounts Receivable
- Pay invoices related to medical/dental/vision insurance, long and short-term disability, SAIF, and COBRA, ensuring all employees and dependents information is correct.
- Provide backup support to the Administrative Assistant.
Taxes
- Prepare and pay weekly, quarterly, and yearly payroll taxes.
- Prepare and submit yearly W-2/W-3 and 1099/1096.
Personnel Records
- Maintain hard copies of personnel files, keep employee contact information up-to-date, and notes pertinent employee activity electronically in employee records.
- Process all new hires, including obtaining hard copies of required documentation and signed documents, order motor vehicle records, and enter employee information into ComputerEase.
Also, set reminders in Microsoft Outlook as to when employee becomes eligible for benefits.
Benefits Administration
- Notify employees when they are eligible for benefits. Distribute benefit packets and gather benefit documents, ensuring all documents are completed property and in full.
- Enroll employees in the following: Medical/dental/vision insurance, 401(k) and pension retirement plans, long and short-term disability, and airlift.
- Terminate benefits as needed and complete a qualifying event form with COBRA administrator.
Send correspondence to terminated employee of the options to continue coverage via COBRA.
Administrative Support
- Edit/rewrite correspondence and company documents.
- Register commercial vehicles, order CAB cards, and stickers.
- Responds to requests for W-9s and credit applications.
Employee Communication
- Notify employees and COBRA participants of insurance rate increases.
- Notify employees of other important updates, via inter-office and payroll memos.
Census
- Complete annual 401(k) and profit-sharing report by gathering employee deferrals and employer contributions for the previous plan year. Submit report to retirement management company.
- Complete annual employee census for benefits renewal by identifying employees, dependents, and COBRA enrollees. Submit report to insurance company.
- Complete Prevailing Wage Annual Construction Industry Occupational Wage Survey and submit to Bureau of Labor and Industry.
Audits
- Prepares and is the contact person for Saif, insurance and retirement plan audits.
Reporting
- Gather and submit information for Saif, 1094-C/1095-C health insurance, sick leave, and new hires reports.
Job Requirements
- Proficient in MS Office & Outlook
- At least two years of payroll experience
- Organized
- Ability to multitask and complete tasks with a high level of accuracy.
- Able to manage confidential information.
- Excellent time management skills
- Able to interact with employees and customers of varying skill and education levels.
- Excellent written and verbal skills
- Must be able to take direction from others.
- Must be able to work Monday-Friday, 8:00 am -5:00 pm.
