Minimal Qualifications:
  • Bachelor’s Degree in Human Resources, Accounting, Business Management or related area.
  • 3 years payroll, accounting, or human resources related experience.
  • Minimum Education Qualification can be substituted with an equivalent combination of educations and experience sufficient to successfully perform the essential duties of the job.

Preferred qualifications:
Preference will be given to individuals who possess:

  • Experience working in a payroll environment
  • Experience processing federal, state, and local payroll taxes in a multi-state, multi-locality environment
  • Experience setting up and maintaining tax presence and compliance in multiple states and localities
  • Experience processing monthly, quarterly, and annual tax reporting such as 941’s and W-2’s at the federal, state, and local levels
  • Experience reconciling payroll accounts
  • Experience in a high volume customer service environment

Work Hours
Normally scheduled 8:00 am – 4:30 pm, Monday through Friday; however, may be required to work other shifts to include evenings and/or weekends. Schedule subject to change based upon department needs.

Compensation
Starting pay is $49,935 Competitive benefit package is included.

Class Summary
Full-time staff position responsible for performing a variety of customer service, general accounting and clerical tasks to ensure timely and accurate processing of various district payroll duties and responsibilities. Responsibilities include entering payroll information, processing payrolls tasks, processing Federal, State, and Local taxes, and reconciling all payroll accounts.

Typical Essential Duties
  • Figures, processes, and reconciles all taxes including Federal and multiple states and localities. Prepares and processes all monthly, quarterly and annual reporting (941’s, W-2’s) at the federal, state (including multiple states), local (may include multiple localities), and employee level.
  • Sets up and maintains tax presence in all applicable states and localities adding additional states and localities as needed.
  • Ensures and maintains compliance for all federal taxes plus all applicable states and localities.
  • Maintains and reconciles all payroll accounts including annuities, taxes, retirement, and general deductions, finds and corrects discrepancies using general accounting procedures.
  • Processes payroll-related information relating to payroll taxes, social security, and/or retirement benefits; work may involve researching, verifying, entering and/or updating information; submitting and/or uploading files; processing payments, refunds, invoices, checks, and other fiscal transactions; and calculating, compiling, and/or reviewing employee/program participant data, including wages and leave information.
  • Reviews account, check, and other fiscal information, and resolves any discrepancies to ensure compliance with applicable laws, policies, and procedures.
  • Prepare, maintains, and/or reviews general and fiscal reports, records, files, spreadsheets, and other documentation, to facilitate timely and accurate reporting, and ensure compliance with applicable laws, policies, and procedures; work may involve researching and compiling data, utilizing online systems and software, and running reports to identify information inaccuracy.
  • Coordinates with employees, staff, tax agencies, courts, vendors, school districts, and other internal and external staff, departments, and/or agencies, to respond to questions, requests, and inquiries; provide written/oral technical and general information on payroll matters and tax issues.
  • Provide knowledge and expertise of tax laws, compliance, and accounting principles, making sure all knowledge is up-to-date and current.
  • Provides assistance to employees relating to problems, concerns, and/or questions relating to payroll (specific to payroll taxes and accounts).
  • May assist with employment verifications, filing, and other tasks as needed.
  • Assist in payroll processing duties as needed or as a back-up.
