POSITION OVERVIEW:

The plant Shift Clerk Reports To: Plant Shift Superintendent Department: Operations Purpose: Support Operations and Maintenance Departments for vacancy filling and the accountability of employees during normal work hours and off hours. Support Operations with administrative duties to include word processing, developing spreadsheets, maintaining databases, scheduling meetings/conference rooms, CAER line notifications, etc. Audit and make needed corrections to Operations budgets to ensure charges are being coded accurately against the various Operations cost centers

RESPONSIBILITIES AND ESSENTIAL DUTIES:

Responsibilities include, but are not limited to:

  • Prepare verify and distribute refinery operations reports throughout the refinery.
  • Maintain monthly spreadsheet for H2 to fuel KPI.
  • Distribute daily and monthly report.
  • Maintain general office and Supervisory files for 30+ operations personnel (both hourly and salary).
  • Responsible for accurate exception reporting in CATS for all hourly operators in accordance with the contractual language.
  • Responsible for completing and maintaining the appropriate forms/paperwork for operator schedule changes, pay rate changes, step-up supervisor forms, special assignments, etc.
  • Responsible for timely reporting of operator vacancies (sickness, funeral, etc.) and ensuring vacancies are filled as needed.
  • Responsible for the preparation and completion of the annual operator vacation calendar.
  • Maintain overtime spreadsheet for operations.
  • Track charges for every non-operations activity; create and send monthly reports.
  • During nights and weekends Call-Out employees (per contract language) for unplanned necessary maintenance work, prepare and distribute reports for each.
  • Primary contact for Maintenance employees’ off-hours for vacation and sickness.
  • Responsible for confirming maintenance vacation cap allotments are not exceeded.
  • Develop and set work schedules for CCRB Console Operators and LOP Operators in accordance with contract language.
  • Fill shift vacancies for operational coverage and various committee needs.
  • Collect and distribute mail, order office supplies for day-to-day operations, and answer phones.
  • Maintain office equipment including Computers, Printers, Fax Machines and Copier.
  • Alternate Facility Accountability Coordinator during emergencies.
  • Maintain Community Information Lines on CAER Line for required messages to the community.
  • Building accountability coordinator for the CCRB.
  • Maintain CCR building maintenance request forms.
  • Maintain locker lists issuing lockers in the men’s and womens change house and CCRB locker room.
  • Document Controller for console operators’ qualification testing.
  • Primary contact for all overtime meals plant-wide.
  • Maintain Field Coordinator spreadsheet daily for emergency response purposes.
  • Audit console operators. Procedure Forms.
  • Process safety: Audit SOP and EOP procedures for accuracy and report findings. Principal Accountability: Administer operations vacancy filling in the most efficient manner possible in accordance with CBA language and procedures.
  • Run spreadsheets and develop reports for operational use.
  • Manages the daily operations vacancies and set schedules for future vacancies.
  • Develops and issues overtime reports to assist the organization in monitoring and managing overtime costs.
  • Develops desk procedures to document administrative processes Authority.
  • Manage timely (per contract language) the scheduling of operators’ vacations.

QUALIFICATIONS (EDUCATION, EXPERIENCE AND SKILLS):

  • Bachelor’s Degree
  • 2 years of related work experience
  • Excellent verbal and written communication skills, in both normal and emergency conditions.
  • Proficient in Excel
  • Must be able to multitask/Attention to details

WORKING CONDITIONS

  • Rotational 12-hour Shift schedule working both 12 hours day and 12 hours night shifts. (5:30 to 5:30):

The schedule is:

5 Days – 4 OFF

5 Nights – 5 OFF

4 Days – 5 OFF

The schedule will swap from Days to Nights when the schedule above is complete.

Pay: $12.96 - $21.60 per hour
