Job Title: Policy and Procedure Specialist
Reports To: Loan Operations Process Manager
Direct Reports: N/A
Salary Grade: 7/7A

SUMMARY
Develops, implements, and maintains all Loan Operations operational policies, procedures and work instructions to enable consistent performance and desired outcomes. Responsible for integrity and accuracy of business policy and procedure records. This role works with all functional areas within Loan Ops to revise, refine, and/or create the required documentation that is made available within departments and across the company as reference publications.

EDUCATION AND EXPERIENCE REQUIREMENTS
  • Bachelor’s degree in Business, operations management or related field preferred.
  • 2+ years of experience in process improvement, operations, or related field.
  • Experience with business writing including publishing, expertise in documenting business policies and processes.
  • Ability to evaluate and edit the content, structure, and format of a range of written material.
  • Ability to take complex or multi-stepped procedures and prepare in a simple, clear, and easily digested format.
  • Experience with MS Office Suite, including Word and Excel, PPT, SharePoint.
  • Project management or Lean Six Sigma experience an asset.
  • Experience communicating effectively, verbally and in writing, with employees at all levels of an organization.
  • Experience in working directly or indirectly with operations teams in a highly regulated environment.
  • Proven skills in successfully coordinating and completing multiple priorities in a deadline-oriented environment.

JOB FUNCTIONS
  • Develop, implement, and maintain, divisional policies, procedures, and work instructions to ensure high quality results, functional effectiveness, and clarity of roles and responsibilities.
  • Develop and implement process to monitor and manage annual review cycles and required updates to Loan Ops procedures.
  • Collaborate with departmental teams to ensure that procedures are clearly defined, documented, and communicated to all stakeholders.
  • Collaborate and assist team and divisional leadership with ongoing continuous improvement activities.
  • Lead brainstorming sessions to recommend areas of improvement for documented processes and procedures.
  • Analyze effectiveness of documentation and recommend improvement opportunities to management.
  • Audit procedures on a regular basis to ensure consistency and compliance.
  • Perform research and review documents to identify gaps in documentation.
  • Remain current on policies and procedures for all business areas.
  • Monitor and evaluate the effectiveness of implemented procedures and recommend changes as needed.
  • May assist in developing and maintaining process maps, flowcharts, and other documentation to support the implementation of new and/or changing business processes.
  • Support the introduction of changes internally by partnering with Change Management and departmental leadership to determine rollout and training needs.
  • Serve as liaison with divisional personnel assigning, conducting, and facilitating training sessions.
  • Other duties as assigned.

POSITION TYPE
This is a full-time position that requires schedule flexibility to work evenings and weekends as needed.
