Description: The Program Analyst I provides program support functions to include attending meetings with potential and existing customers, analyzing customer program needs, accessing program performance and objectives, and executing on program tasks.

Outlook Maintenance and Scheduling Support

  • Maintain NGDISM Outlook Activity calendar.
  • Schedule meetings as requested. This includes but is not limited to, internal meetings with team members and external meetings with stakeholders.
  • Create and maintain grantee subfolders in outlook.
  • Monitor the shared Outlook account.
  • Record incoming questions and calls from applicants and recipients in the communication log.
  • Respond to emails received by the shared Outlook account.
  • Generate templates for common email inquiries.
  • Maintain stakeholder distribution list.

Correspondence Support

  • Review and edit, as necessary, all outgoing and internal correspondence for clarity, grammar, typographical accuracy, and proper format per PHMSA’s Style guidelines
  • Review outgoing materials and correspondence for internal consistency and conformance with program supervisor’s procedures.
  • Prepare routine, non-technical correspondence.
  • Save and upload Congressional letters of support and responses in the appropriate entity’s SharePoint folder.

Data and Analytics

  • Design, develop, and maintain dashboards using Power BI
  • Design, develop, and maintain apps using PowerApps
  • Format, clean, and analyze large data sets using MS Excel or equivalent

Meeting Support

  • Attend meetings, as requested, and transcribe minutes or transcribe presentation notes into speaker notes.

Training Support

  • Prepare training documents (SF-182, purchase card checklist, etc.).

Travel Support

  • Request and maintain access to E2 Travel Solutions.
  • Make travel arrangements for team members.
  • Prepare travel vouchers for team members.

Procurement and Budget Support Services

  • Enter Procurement Requests (PRs) into the PHMSA-Approved Procurement System.
  • Follow-up on Procurement Requests.
  • Maintain and update procurement-related and budget-related records and files.
  • Check procurement-related and budget-related records and files for accuracy.

Miscellaneous and Special Projects

  • Perform special data search tasks/projects, as required. Includes gathering information required to respond to FOIA requests.
  • Collect information from the files or staff for routine inquires on office programs for periodic reports and refer non-routine requests to program supervisor or program staff.

Must provide a capable and competent professional to perform non-personal administrative support services

Requirements:

  • Must possess an Active Trust
  • Must provide a capable and competent professional to perform non-personal administrative support services.
  • Bachelor's Degree with two (2) years' experience OR high school diploma with six (6) years' experience.

Job Type: Full-time

Pay: $70,000.00 - $75,000.00 per year
