JOB SUMMARY:

Trane has a new exciting opportunity to join our organization as a Project Administrator in our Bellevue, WA Service group. Locations for this role would be Bellevue, WA.

Under direct supervision, the Service Project Administrator, is responsible for routine project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each project. This position is required to closely interact with customers, Project Managers, and other assigned project staff to ensure the timely completion of each project.

Responsibilities include the following and other duties as assigned:

  • Sets-up service agreements and quoted projects/jobs in system application based on transition documents.
  • Maintains customer satisfaction by investigating concerns, implementing corrective action, and communicating with customers and assigned staff.
  • Coordinates with various team members for accurate and timely recording of project costs, including materials, time sheets, labor hour allocation, daily reports, etc.
  • Connect and communicates with customers and their representatives, including building owners, mechanical contractors, other trades, subcontractors, and field support staff.
  • Schedule and participate in internal project team meetings to ensure accurate transfer of information.
  • Validates cost to date and reconciles project data in business system.
  • Reconciliation of purchase order discrepancies to support the Service fulfillment process.
  • Reviews billing backlog, processes invoices, and coordinates/communicates with Project Managers, HVAC Field Technicians, customers, and Trane claims as necessary to resolve obstacles.
  • Responsible for general administrative functions to include processing service claims – concessions, Ship Product Defect (SPD), retrofit, labor warranty, purchase orders, and initiating invoicing.

Qualifications:

  • One-year certificate from college or technical school; or three (3) plus years of related experience and/ or training; or equivalent combination of education and experience.
  • Must have strong communication skills, proactive approach with willingness to work independently as well as part of a team.
  • Proven experience prioritizing tasks in order to meet tight deadlines within a high-paced environment.
  • Familiarity with the operation of HVAC Systems preferred not required.
  • Flexibility to work overtime/ weekends, as required.

This position is eligible for a Hybrid work schedule and will be based out of our Bellevue, WA location. Flexible work from home options are available.

Base Pay Range: $66,000 - $69,000/ year
