Summary

DPS Group has an immediate need for a Project and Document Control Administrator to join our team in Albany, NY. Successful candidates will have 3+ years’ experience supporting engineering and construction projects in fast-paced environments. Successful candidates will have worked in a similar capacity, thrive in a fast-paced professional environment, and ideally have experience working with Architecture, Engineering and Construction professionals.

This role involves a great deal of multitasking and is integral to the success of our business. You will work with the project team, support project operations, coordinate across different groups and lines of business, and are responsible for office resource or administrative items.

Responsibilities

  • Coordinate architectural and engineering (A/E) design packages with Project Managers to review composition and deadlines of Client deliverables.
  • Communicate with Project Managers and Project Engineers to obtain package and team updates, verify deliverable components.
  • Work with discipline and quality control teams to update and format outgoing files for adherence to professional, DPS, and industry standards.
  • Assemble and prepare A/E reports and deliverable packages including combining multiple documents in Bluebeam.
  • Organize permit sets by assembling electronic and hard copies and assuring inclusion of appropriate A/E stamped drawings, affidavits, and other documents as required.
  • Build and proof deliverable lists and reconcile discrepancies.
  • Prepare drawing lists of files issued with deliverable packages.
  • Proof, edit, format and brand documents, presentations, and spreadsheets in adherence to industry and company standards and guidelines.
  • Upload packages to file transfer sites and communicate with clients to assure receipt of files.
  • Utilize conferencing technology and Microsoft Teams to project, review, and edit electronic documents and presentations.
  • Setup new projects and administer access in Procore.
  • Manage the receipt, flow, response, and distribution of RFIs and Submittals.
  • Request, compile, and organize Project closeout documentation.
  • Attend and take notes at meetings and prepare minutes.
  • Additional tasks as assigned.

Skills & Qualifications

  • Strong communication and organizational skills, verbal and written.
  • Proficiency in MS Office, specifically Word and Excel.
  • Familiarity with Deltek and/or Procore preferred.
  • Ability to perform work accurately and completely, and in a time efficient manner
  • Strong attention to detail.
  • Ability to learn and use a variety of software, tools and systems necessary to meet business needs.
  • Proven problem-solving skills.
  • Thorough knowledge of administrative, office and document control procedures and standards.
  • High School Diploma or GED (Required).
  • Associate’s degree or higher in business administration or related field (Preferred).
  • In lieu of the above requirements, equivalent work experience may be considered.
  • 3+ years administrative or document control experience (Required).
  • Must have reliable transportation, live within a commutable distance and able to provide valid work authorization for US employment.
  • Salary commensurate with experience.
