Accent Landscape Management, Dreamscapes Oasis & Outdoors and Castle Innovations are seeking an experienced Office Manager & Executive Assistant to join our growing team. We are celebrating our 27th year in business, and are offering a great long-term opportunity for the ideal candidate, where whom will possess a great working knowledge of general business practices and will also possess a positive attitude and aptitude.

You will be responsible for contribution to and supporting all phases of our businesses, including but not limited to, showing leadership as a Customer Service Champion, managing Crew Schedules, Accounts Payable, Accounts Receivable & Payroll functions, Project Management and engaging as a major contributor to the Leadership Team as the Executive Assistant. You will interface with both internal operating groups and external customers, along with supporting Leadership Team members and lastly supporting the Executive Team (President & CEO and the Vice President) as directed. Candidates that are fluently bilingual (English/Spanish) are a benefit, though not an absolute requirement. Candidates must possess a valid Texas Driver License with a clean driving record, enjoy working in a dynamic office environment and be able to meet company performance standards.

Responsibilities and Duties

  • Manages administrative projects to help the organization meet budget expectations and client deliverables
  • Oversees attendance records, proper crew scheduling and all billing activities
  • Assists in the creation of estimates, work orders & filing
  • Cultivates relationships with Vendors, Contractors and Clientele
  • Primary receptionist of main phone line for companies
  • Responds timely to customer requests, complaints and/or concerns to achieve excellence in customer service.
  • Timely responses to all emails, phone calls, texts and other forms of communication
  • Maintain day-to-day knowledge of customer contracts/jobs in progress, including completion status.
  • Monitors budgeted hours versus actual hours and takes appropriate steps to ensure proper tracking is in place and performance requirements are met.
  • Communicate with customers, internal and external stakeholders as needed & as directed.
  • Utilize electronic systems, Apple & Microsoft applications, GPS, Quickbooks, office and shop video, etc. daily to ensure timely completion of work schedules and report on crew productivity.
  • Helps to ensure safe utilization and tracking reporting of all company equipment including trucks, inventoried products, parts, supplies and all company assets.
  • Responsible for quality assurance audits as directed.
  • Will take a leadership role in project deliverables as directed.
  • Position reports to the President & CEO, with matrix reporting to the Vice President and is a member of the Accent Leadership and Safety Committees
  • Provides administrative support to the Leadership Team & Crew Leads
  • Work Location is Pittsburg TX 75686. (There may be times it will be needed to work out of another Accent office located 17800 Dickerson St. Dallas, TX 75242)

Candidate Qualifications and Requirements

  • Valid Texas Driver license & Clean Driving Record
  • 2+ years of relevant business experience in the landscaping & construction industries, perferred
  • Bilingual Spanish/English, a plus
  • Communicate effectively with clients & external/internal stakeholders

. Work effectively with other office personnel, field team members, Leadership Team Members and the Executive Team. Experience in Customer Service, Accounting, General Business & as an Executive Assistant and/or Office Mgr.. Familiarity with regional plant materials and planting techniques is not required, but is a plus.. Punctual, self-motivated, and able to complete tasks without immediate supervision.. Position is 40 hours per week but on occasion extended work hours and flexibility in scheduling including early morning, late evening, and/or weekend hours, may be needed as required. Lead and successfully manage accounts payable and accounts receivable to ensure all client accounts & projects are completed within guidelines, budgets, and work hours as deemed required.. Provide timely and effective assistance to clients for any potential and existing problems or issues.. Extremely detail oriented and organized.. Excellent written and verbal communication skills.Benefits

Job Type: Full-time

Pay: $25.00 - $35.00 per hour
