Job Summary
This role is accountable to the Purchasing Manager and centers on supporting the essential functions of procurement and inventory management. The Supply Chain Administrator requires excellent attention to detail and ensures that suppliers, acquired materials, and agreements meet Fox Metals' requirements and specifications. Responsibilities include ordering, tracking, and processing orders including approving mill test reports and assisting quality assurance, where needed. The work environment for this role is onsite, in office conditions, with occasional entry in the warehouse.
Job Function
- Review and approve supplier order acknowledgements, receiving documentation, supplier mill test reports, and third-party/processing certifications for compliance against issued purchase orders, material specifications, and deviations.
- Maintain supplier deviations and purchase order acknowledgements.
- Maintain supplier conformance letters, emails, and certifications.
- Request frequent updates from suppliers regarding status of purchase orders, deliveries, claims, corrections on test reports/certifications, requests for compliance letters, etc.
- Amend supplier delivery dates regularly in the ERP system, add detailed remarks, send/resend purchase orders, and maintain a supplier status spreadsheet to present to management.
- Manage inventory available in supplier’s local yards and coordinate material releases.
- Alert the receiving department of incoming shipments and coordinate receiving documentation.
- Maintain and scan supplier mill test reports, purchasing documents, and internal records.
- Setup and enter processing purchase orders, when needed.
- Assist sales personnel and the business center with incoming inquiries and responses.
- Investigate inventory inaccuracies and assist management with inventory adjustments.
- Support the activities leading up to, during, and after the annual physical inventory process.
- Address export procedural needs and request/process export documentation for shipments.
- Review and approve supplier mill test reports per internal, customer, and industry requirements.
- Assist with supplier performance collection, trend analysis, and reporting activities.
- Collect and update supplier non-disclosure agreements/mutual confidentiality agreements.
- Request supplier conflict mineral statements and update annually.
- Review new supplier request forms and complete accordingly.
- Update and distribute various internal practices/policies and forms.
- Complete supplier and customer surveys including document requests.
- Support the collection and reporting of customer satisfaction feedback.
- Request and upkeep supplier material data sheets (SDS).
- Pilot the specification library (SPECS folder online).
- Enter and track supplier debits.
- Perform general data entry, record keeping, and scanning for various departments.
- Perform all other required duties and responsibilities as assigned by management including those, deemed necessary, performed by Quality support personnel.
- Responsibilities occasionally may require an adjusted work schedule and evening/weekend hours in order to meet month-end close or project deadlines.
Required Skills
- 1-2 years of relevant experience or any equivalent combination of education and experience that provides the required knowledge, skills, and abilities required.
- High School diploma/GED required
- Understanding of basic concepts and principles pertinent to purchasing operations required.
- Knowledge of arithmetic required.
- Ability to multi-task, prioritize, and manage time effectively required.
- Excellent oral and written communication skills required.
- Ability to initiate and maintain cooperative relationships with co-workers as well as internal/external customers required.
- Strong computer proficiency and working knowledge of Microsoft applications (Excel, Word, Powerpoint) required.
- Experience or basic working knowledge of a Quality Management System preferred.
