REQUIRED KNOWLEDGE/SKILLS/ABILITIES:
- Minimum experience in a role focusing on one or more of the following: Office/Program Management, Project Contract Administration, Administrative assistant,
- Experience working within Apprenticeship or the Construction Industry - a plus
- Intermediate to Advanced Microsoft Office Suite skills, especially Excel, required.
- Adobe Acrobat or Blue Beam - a plus
- Strong communication skills, both written and oral, with the ability to effectively, professionally and diplomatically interface at all levels (customers, contractors, vendors, co-workers, peers, field personnel, managers, and executives).
- Must be detail-oriented, customer focused, exceptionally organized; possess a sense of urgency and ability to meet deadlines in a fast-paced environment.
- Must have the ability to multi-task, prioritize & take the initiative to provide support/follow-up.
- Must be self-motivated, hard-working, performance driven, and reliable.
- Experience with, and understanding of, Apprenticeship programs - a plus.
JOB DUTIES:
- Reports to Training Coordinator and provides support to all JATC Staff with all administrative tasks on projects from inception to completion.
- Heavy focus on all Training tracking related tasks & coordination with BAC, Contractors, South Seattle College, State apprenticeship representatives & others as needed.
- Data Entry – high efficiency and accuracy required
- Create, revise and manage Excel spreadsheets for data tracking purposes as needed (e.g., school enrollment & loan agreement tracking system, apprentice probation and total hours tracking system)
- Input, track and manage all apprentice hours
- Input, track and manage all Veteran apprentice benefits and enrollments
- Assign apprentices to class schedules
- Appoint and track Journeypersons to continuing education classes
- Notify apprentices, journeypersons, and contractors of upcoming school classes and continuing education classes via email, voicemail, text messages and Facebook
- Track and manage apprentice class attendance
- Track and manage apprentice enrollment forms & loan agreements
- Coordinate with Seattle Collgees Student Services Program Manager to manage student enrollment forms & student class payments
- Track and update apprentice contact info in Outlook, Secure Access, and all data tracking spreadsheets
- Contact apprentices with issues (e.g., missing hours, change of address etc.)
- Report to Union & Contractors with any apprentice status changes, contact updates & apprentice issues
- Manage Facebook account, Manage website, Social media accounts
- Manage the auto-notification system
- Create and revise any Word Docs as needed (e.g., class notifications, school schedules, Job Flyers, program information etc.)
- Report status changes to state website SecureAccess Washington, Apprenticeship Registration Tracking System
- Assist potential apprentices in enrolling in the program, help them fill out forms and file any subsequent paperwork
- Review and answer assigned email correspondences
- Provide secretarial and receptionist services such as answering and fielding the centers phone, faxing documentation as needed, maintaining files and databases, assist with overflow work from Coordinator, receiving and directing visitors and provide information regarding the program as requested, and maintain office supply inventory list
- Contribute to team effort for the betterment of the program
- Other duties and projects as assigned
COMPENSATION & BENEFITS
- Compensation commensurate with experience. $23.00 to $25.00 per hour D.O.E.
- Excellent Medical, Dental, Vision Coverage - Covers employee & dependents with no premium cost to employee
