Dinsmore is seeking a Records Clerk at our downtown Indianapolis, Indiana location. The Records Clerk will oversee the department's core operations of records research, retrieval/retrieval ordering and file closing while adhering to departmental policies and procedures and performs, to varying degrees, the day-to-day work activities of the records department.

Responsibilities

  • Coordinate day-to-day operations including oversight of file closing, records request research and fulfillment and associated specialized tasks
  • Frequently perform complex research and closing tasks
  • Identify defects and problems and make recommendations for process improvement
  • Perform special records service requests as indicated by attorneys and/or legal staff
  • Assess the needs associated with the records of incoming and departing attorneys
  • Manage off-site record center intake and maintenance
  • Process final disposition of aged records
  • Document and maintain retention records
  • Use discretion to ensure the satisfaction of customers and the successful outcome of the department's efforts
  • Review supplies and equipment to ensure adequacy for the department's needs
  • Participate in groups and teams aimed at improving a specific business process
  • Other duties as assigned to facilitate the successful daily operations of the Firm

Requirements

  • Must be able to assess day-to-day work requirements and complete accordingly
  • Must be able to apply departmental policies and procedures consistently in the course of conducting work.
  • Must have advanced computer skills, including understanding and use of ERMS software
  • Must possess solid communication, interpersonal and customer service skills
  • Must be detail and deadline oriented
  • Must maintain commitment to teamwork
  • If applicable, the willingness to work outside of regular work schedule is required
  • Must be able to lift records storage containers weighing up to 40 pounds sporadically throughout assigned shift
  • Minimum of 2 years record keeping experience, preferably in a legal environment
