- Graduation from a regionally accredited college or university or one accredited by the New York State Board of Regents to grant degrees with a Bachelor’s degree in either History, Social Science, Information Technology, Archival Studies, or Library Science or a closely related field OR
- Graduation from a regionally accredited college or university or one accredited by the New York State Board of Regents to grant degrees with an Associate’s degree in History, Social Science, Information Technology, Archival Studies, Library Science or a closely related field and two years of full time paid experience (or its part time 20hr per week paid equivalence) in filing, organizing, storage and disposal of records OR
- Graduation from high school or possession of a high school equivalency diploma and four (4) years of full time paid experience (or its part time 20hr per week paid equivalence) in filing, organizing, storage and disposal of records
DUTIES: This position exists in the Accounts Department and is responsible for managing electronic and paper public records kept, created, filed and received by the offices and departments of the City and includes responsibility for the technical aspects of the Electronic Content Management System (ECMS) of the City of Saratoga Springs as well as any projects that utilize this system, which at the present time is Laserfiche. This includes but is not limited to designing workflows, forms, and templates, creating metadata, managing permissions, and learning how to use any additional ECMS features that the City may add to the system. To help administer the system, the position will liaise with the City’s Information Technology (IT) Department including but not limited to questions about hardware, storage, and any others germane to the ECMS. This position is also responsible for helping to organize and oversee any training required of ECMS users. To accomplish these tasks, the position will learn and stay current with ECMS best practices. The position will be expected to participate in the planning of projects and the preparation of grant applications to help fund some of the projects, particularly those that involve the ECMS. The position is under the general direction of the Commissioner of Accounts who is the City’s Records Management Officer, and with direct supervision from Deputy Commissioner of Accounts. This is not a managerial position, and as such, the position may take direction from the Archivists, as well as from the designated Records Manager responsible for the Records Center, on a project-by-project basis. This position is not responsible for the supervision of others. Performs related duties as assigned.

A provisional appointment is pending the appropriate NYS Civil Service Exam announced and administered locally. The provisional appointee will be required to sign up to take the exam once it is announced, pay the exam fee (or fee waiver if applicable), pass the exam and rank in the top three (3) grades to secure a permanent appointment*
