Monona Catering, the exclusive caterer for Monona Terrace Community and Convention Center, is looking for an Administrative Assistant to join our Catering Sales team.
The Catering Sales Assistant is responsible for providing support to the Catering Sales and other departments within Monona Catering. This person is responsible for the data entry and proofing of function sheets, answering phones and emails for the sales department, receiving final guarantees from event contacts, and maintaining client files and the associated database. They must stay informed on all events in the building, including working closely with the Catering Sales Manager and Event Coordinator for each event and fully understanding the role of all key personnel.
This person must be able to quickly prioritize work and be well organized to handle many tasks at once. The Catering Sales Assistant is constantly in contact with clients and Monona Terrace employees; therefore, they need to be consistently pleasant, courteous, and helpful.
JOB DUTIES ANDRESPONSIBILITIES:
The following are the main responsibilities of the Catering Sales Administrative Assistant. This includes but is not limited to:
1. Accurately typing and proofing function sheets and keeping the database up to date.
2. Calling for/posting of daily event guarantees, special meal needs, changes, etc.
3. Pleasantly and courteously answer the sales department’s phones and follow all procedures for forwarding lines.
4. Expeditiously relaying all changes to the Catering Sales Managers, Culinary Department, Operations Department, and all appropriate Convention Center Staff.
5. Coordinate catering needs for internal facility events.
6. Maintaining/Ordering office supplies.
7. Provide support to other departments as needed.
PREREQUISITES:
Skills: Must be able to type efficiently and accurately. Must have proficient skills with Word, MS Office and Excel; other database experience helpful. Must be able to properly use a collating copy machine, network telephone, walkie-talkies and a network computer. Ability to learn proprietary software quickly and efficiently.
Availability: Full time, in person position. Must be available Monday through Friday with a start time between 8 or 9am. Occasionally this person may be asked to work late and/or weekend hours.
Education: High School Diploma or Equivalent, Secondary Education a plus
Experience: Must have two years office experience or equivalent. Catering, Food Service or Event Coordination experience preferred.
