HYBRID POSITION -

The Scheduling Coordinator role is managing, scheduling, planning and organizing a staff of several hundred for the elder care industry. This includes staffing open schedules/shifts, transportation appointments, advocating for clients’ medical needs, and maintaining professional relationships with employees, clients, client families, medication professionals, and business partners. Individual needs to be available work hours (based on Central time zone) Tuesday to Saturday.

ESSENTIAL DUTIES AND RESPONSIBILITIES______________________________________

· Work with the scheduling team to ensure the client’s care schedule is current

· Handle emergency situations such as call offs, cancellations, and new clients starting care.

· Participate with on-call duty for after hours and weekends; follow protocol for after-hours response time and tracking

· Acquire approval for any overtime time worked or scheduled by the management

· Effectively communicate by email through laptop during on duty hours

· Confirm field staff is aware of all assignments, projects, and duties

· Report field staff performance issues to HR

· Self-manage hours worked per week; including when and how after hours should be allocated

· Update client schedules regularly to ensure database is current

· Properly document and track activity in Clear Care to ensure proper billing and payroll

· Assist with any tasks as directed by the Managing Direct, Executive Vice President, and HR Manager

· Work with a team including Client Care and Outreach Managers, Care Coordinators, and office administration to manage clients’ care needs

· Other duties as assigned

QUALIFICATIONS_______________________________________________________________

Education and/or Experience:

· High school diploma or equivalent (GED)

· One plus year of scheduling, logistics, healthcare or homecare.

· One plus year of Office admin experience.

Communication Skills:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees of organization.

Mathematical Skills:

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills:

· Must be proficient in Outlook, Microsoft Word, Excel

· Must be comfortable with faxing, copying, and scanning documents.
