Job Description


We are currently looking for a Security Administrative Assistant position to join our growing Administration Services team! This role is responsible for assisting Administration Services management personnel in the provisioning of services in support of the safe and cost-effective operation of Brightspeed work environments. You will report to the Senior Manager of Real Estate Systems & Operations.

As the Security Administrative Assistant, your duties and responsibilities will include:

  • Provide administrative support to Access Control, Real Estate, Fleet
  • Maintain various records and files, completes data input, compiles information and prepares recurring and ad-hoc reports
  • Communicate with various internal and external resources concerning, claims, invoices and other critical needs
  • Maintain various records such as Access Levels, Disaster Recovery Plans, Facility Guides and other documents
  • Maintain database and associated reports for expense tracking and invoice submittals, as required
  • Perform general clerical duties including email, phones, data entry and filing
  • Work within multiple software systems
    • building maintenance trackin

    • other, as needed
  • Support special projects and other duties as defined by the organization, requested by Administration Services Managers or as business needs require

Qualifications


WHAT IT TAKES TO CATCH OUR EYE:

  • High School diploma, college degree preferred
  • Familiarity with the intake and processing of facility badge access requests preferred
  • Basic knowledge of facility access control badging systems preferred
  • Computer literacy including proficiency in MS Word, Excel and PowerPoint programs
  • Ability to learn proprietary software programs
  • Strong typing/keyboarding skills with ability to type 30 WPM preferred
  • Self-motivated and able to work with minimal direct supervision
  • Ability and willingness to learn new processes, procedures and systems
  • Detail-oriented and organized
  • Ability to prioritize and meet deadlines
  • Team player with good interpersonal skills
  • Ability to work with diverse customer base, both internal and external
  • Strong written and verbal communication skills
  • Ability to concentrate on detailed tasks over extended periods of time
  • May perform work duties with little supervision
  • Primarily performs daily tasks at a desk utilizing a computer and phone for extended periods of time; working remotely may not an option for this position
  • Ability to work a flexible schedule with occasional overtime, as required
