Summary

The Senior Administrator is an anchor for and liaison of the International Programs (IP) division, interacting with a range of stakeholders and clients as a representative of Save the Children. You will play a critical role in supporting the effective functioning of the division and provide significant administrative and operational support to the Vice President of International Programs, the Chief of Staff, and the Head of Program Quality and Impact. Working closely with the Chief of Staff, you are responsible for effectively supporting consistent communication and application of policies and information division-wide and collaborating with other Save the Children divisions on cross-functional work. You will interface with the IP Senior Management Team (SMT) and key stakeholders on all key projects, programs, and initiatives, and collaborating with the Program Quality and Impact department. You will perform crucial cross-divisional work by supporting the management of several cross-divisional and agency-wide initiatives and projects.

What You’ll Be Doing (Essential Duties)

Administrative Support to Chief of Staff and Vice President, International Programs (50%)

Acts as a cornerstone for the Front Office of the Vice President (VP) through quality and thorough administrative and operational support to the VicVP. Works closely with Chief of Staff on a range of divisional projects and processes.

  • Facilitate communication and information sharing among own division, other departments, and Save the Children International. Collaborate with other IP administrative staff to drive consistent approach to relevant administrative and operational processes.
  • Serve as Knowledge Management and Continuous Improvement champion for relevant processes, procedures, systems, sites, and tools. Stay up-to-date on new and useful tools available through SCUS-Microsoft agreement, train other staff as needed.
  • Provide administrative support to VP: Organize and maintain VP’s calendar; coordinate VP and divisional/departmental meetings and take minutes; make travel arrangements and preparations, and file expense reports.
  • Collaborate with Chief of Staff on annual planning process, division-wide communications and policy implementation, and other projects as needed.
  • Assist with developing processes to operationalize divisional strategy, using independent thinking and critical analysis.
  • Gather, prioritize, and draft agenda for Divisional Senior Management Team regular meetings; collaborate with Chief of Staff in developing SMT strategic retreats.
  • Prepare first drafts of needed reports, one-pagers using independent judgment.
  • Organize meetings and visits with external partners, SC member representatives, and Country Office staff.
  • Serve as People & Culture/HR liaison to post job openings and draft consulting agreements.

Program Quality and Impact (PQI) Administrative and Operational Support (50%)
Facilitates day-to-day administrative and operational deliverables for PQI, ensuring strong communication, organization, planning, and coordination within the team. Specific duties will vary depending on the need but will include the following:

  • Partners with Head of Program Quality & Impact on the coordination and execution of cross-divisional meetings, workshop, and events includes:
    • Draft presentations, documents, and reports;
    • Coordinate meetings, writing and finalizing agendas, taking minutes, tracking action items;
  • Serve as Knowledge Management and Continuous Improvement champion for PQI processes, procedures, systems, sites, and tools.
  • Provide administrative support to cross-cutting thematic areas, including Monitoring, Evaluation, Research, Learning, and Adapting (MERLA) and disability inclusion; coordinates matrixed MERLA team to facilitate knowledge sharing and learning.
  • Serve as logistical point for Save the Children US Engagement Week.

Required Qualifications

  • Minimum of a High School Diploma or equivalent, plus at least 2 years of relevant experience or education
  • Proven experience successfully delivering administrative support duties in support of a large team
  • Demonstrated attention to detail and proven successful personal and team organizational skills
  • Demonstrated ability to handle multiple tasks and ensure timely completion of short and long term projects
  • Demonstrated ability to exercise independent judgment and discretion on confidential matters related to functional area and to escalate matters as needed
  • Proven problem solver and ability to prioritize in a fast paced and often high pressure work environment
  • Professional proficiency in MS Office suite
  • Professional proficiency in spoken and written English
  • Demonstrated ability to communicate and collaborate effectively with individuals and teams at all levels, both internally and externally
  • Demonstrated commitment to fostering and maintaining and environment of diversity, inclusion, and belonging.

Preferred Qualifications

  • Experience in writing and disseminating department wide notifications
  • Experience with data management and visualization for infographics and dashboard manipulations
  • Demonstrated organizational skills and attention to detail
  • Experience in non-profit humanitarian sector is desired with proven interest in international affairs, development, or humanitarian response

Compensation

Save the Children is offering the following salary ranges for this position, dependent on candidate location:

  • Geo 1 - NY Metro, DC, and other locations with labor costs significantly above national average: Target Salary for this position is $55,250 – $61,750 base salary
  • Geo 2 - Locations around the US National Labor Cost Average: Target Salary for this position is $50,150 – $56,050 base salary
  • Geo 3 - Locations significantly below the US National Labor Cost Average: Target Salary for this position is $45,050 – $50,350 base salary

Actual base salary may vary based upon, but not limited to, relevant experience, base salary of internal peers, business sector, and geographic location. Employee may be eligible for an incentive program. Save the Children also offers paid vacation, accrued at least 12 days a year, depending on paygrade and length of service, paid safety and wellness leave of at least 1 day per month worked for a full time employee which is pro rata reduced for employees working less than a full time schedule, and at least 10 paid holidays a year. Employees may be eligible for additional bonus compensation.
