The Prince George’s County Planning Department of The Maryland National-Capital Park and Planning Commission is seeking a Senior Clerical/Inventory Operations Assistant to assist our Office Services Section of the Management Services Division. The Department provides land use planning for the physical development of Prince George’s County, Maryland. As the second-most populous county in Maryland, Prince George’s has a population of approximately 900,000 residents, is characterized by urban, suburban, and rural areas, and is home to The University of Maryland at College Park, NASA Goddard Space Flight Center, and Joint Base Andrews Air Force Base. This position provides daily office services support to the Department. The successful candidate works well as part of a team, is organized, and is motivated by a desire to make a positive difference in the world. A qualified applicant must be able to operate mailing, printing and bindery equipment requiring specialized training such as heavy-duty cutters, folding, and inserting machinery. The right candidate will have the ability to accomplish multiple tasks with tight deadlines including mailroom duties, courier activities and fleet responsibilities while still providing excellent customer service to staff and the general public. Dependability and responsiveness are essential. Must be willing to learn and fully utilize various computer software programs (i.e., Microsoft Office Suite) to generate reports, track inventory, and manage fleet-related data.

Examples of Important Duties

OFFICE SUPPLIES
  • Fill supply orders within I week after requested.
  • Complete distribution supply log prior to issuing.
  • Prepare and maintain a register of items needing to be purchased.
  • Receive supply orders and check for accuracy.
  • Control access to supply room.
  • Organize and maintain the supply room in an orderly fashion.

FLEET/MOTOR POOL
  • Assist with taking the vehicles for routine maintenance.
  • Assist staff when signing out a vehicle and checks record books for completeness.
  • When necessary, aid in troubleshooting vehicle maintenance.
  • Record and file maintenance work orders.
  • Immediately report all vehicle misuse or abuse to the Office Services Supervisor.
  • Follow specific instructions assuring priority, timeliness, and confidentiality.
  • Complete vehicle sign-out and mileage logbooks when driving Commission vehicles. This includes mail deliveries, vehicle servicing and maintenance.

REPRODUCTION/PRINTING
  • Basic reproduction jobs accurately within 2 hours.
  • Complete special projects and urgent requests as specified, and according to the deadline.
  • Recommend and assist in answering customer questions regarding production
  • alternatives.
  • Maintain equipment to ensure good working order, record machine readings of all
  • equipment daily.
  • Place and record service calls on equipment, small copiers, and fax machines when they malfunction.
  • Maintain a database of all machinery and equipment, including fax machines and copiers, to include make, model, serial number, fixed asset number and other related information.
  • Perform a monthly inventory of all machine supplies and submit it to the supervisor.
  • Order Canon, Xerox and Sharp machine supplies according to the lease contract, never allowing stock to deplete.
  • Obtain price quotes and prepare the paperwork for purchase orders (for supervisor's signature) on machine supplies, paper, and related printing supplies and materials, never allowing stock to deplete.
  • Complete a meter reading on all copiers on the last day of the month and submit a report to supervisor and vendor, as required.

Minimum Qualifications

1. High School graduation or GED and two years of storekeeping experience; or
2. An equivalent combination of education and experience.
3. A valid driver's license in accordance with both State and Commission rules and regulations. Driver's license must be unencumbered by restrictions, revocations, suspensions, or points that could limit the employee's ability to drive Commission vehicles or perform driving duties required of the position.
4. Pass Commission medical examination.

The M-NCPPC offers a competitive salary range of $38,863.00 to $68,830.00 ( salary is commensurate with education and experience) at the Senior Clerical/Inventory Operations Assistant level with excellent benefits including generous leave, extensive health coverage, deferred compensation plan, and employee pension plan.
