Senior Clerk II - Utilities
Under the guidance of the Communications Coordinator, this position is responsible for providing general clerical support, recordkeeping, and accurate and courteous customer service for the Water Utilities Department Business Administration Division in compliance with requirements of the Arkansas Department of Health, Arkansas Department of Environmental Quality, Arkansas Department of Labor, U.S. Environmental Protection Agency, and the Consent Decree, and in coordination with the Water Utilities Department comprehensive strategic management plan.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Note: All City of Fort Smith positions require the employee to provide good customer service to both internal and external customers, maintain positive and effective working relationships with other City employees, and have regular and reliable attendance that is non-disruptive. Must show cooperation and respect to fellow employees and supervisors at all times.
- Provide first-level review and administrative support for Water Utilities assistance programs
- Provide general clerical support, perform data entry, prepare spreadsheets, correspondence, and other documents as needed
- Maintain manual and computerized filing systems for the Program
- Answer the telephone and route calls as needed, providing information for various programs or projects and/or referring callers to the appropriate departments or individuals
- Accept deliveries, greet and direct visitors, monitor visitor access, and maintain security awareness
- Schedule and set up conference rooms and assist with the coordination of meetings
- Sort and distribute mail, add metered postage as needed, take certified items to the Post Office, and prepare and drop off packages to UPS/FedEx
- Assist with research or special projects as requested
- Scan, copy, collate, package, or bind correspondence, reports, and other documents as directed
- Regular attendance and timeliness is required

EDUCATION and/or EXPERIENCE:
Required
- High school diploma or GED
- Must possess a valid driver’s license
- Minimum of one (1) year experience in general office work also involving customer service
- May consider any equivalent combination of experience and training which provides the knowledge, skills, and abilities necessary to perform the work
Preferred
- Certification or course study in business office procedures
OTHER SKILLS and ABILITIES:
- Thorough knowledge of modern office practices, procedures, and equipment with the aptitude to learn new software applications as needed
- Proficient with computer keyboarding, Adobe Pro, and Microsoft Office products (Word, Excel, Outlook, and Teams)
- Thorough knowledge of customer service principles and practices
- Excellent phone, interpersonal, verbal, and written communication skills
- Excellent manual and computerized filing and recordkeeping skills
- Organization and time management skills
- Speed, accuracy, problem-solving, and analytical ability
- Ability to maintain confidential information
