Job Summary
Primarily responsible for providing luxury service to guests and residents of Carillon Miami Wellness Resorts. Wellness Advisor will assist in concierge/clerical duties, Touchless Wellness Technology administration, receiving lease payments, creating case studies to be submitted to legal, and ensuring programs run smoothly under the guidance of the Director of Spa & Wellness. Forbes standards and Carillon Service Essentials are the foundation of our customer service principles.
Essential Job Functions
Adheres to Carillon Miami standards for guest service.- Communicates and collaborates between departments.
- Supports Wellness efforts through tracking all wellness-related data.
- Coordinates the Health & Wellness activities, lectures, and corporate wellness.
- Maintains the organization and digitization of office documents.
- Handles credit card sales and charges to the guest room for services and products provided.
- Acts as a liaison between Health & Wellness and other departments (Spa, Reservations, Fitness) to communicate updates and standard operating procedures.
- Works cooperatively with Health & Wellness partners and practitioners.
- Schedule follow-up consultations.
- Responsible for the operation of the Health & Wellness areas under the guidance of the Director of Spa & Wellness.
- Greets guests with a positive and friendly attitude and ensures that appointments are timely.
- Answers phones for Health & Wellness department, takes messages, schedules appointments, and answers questions when appropriate.
- Performs all clerical and secretarial duties such as but not limited to; guest scheduling, preparing reports, handling information requests, updating brochure info, and maintaining of Health & Wellness database.
- Alerts Management of any concerns or problems as they arise.
- Refers guest problems or complaints to the manager or supervisor according to Carillon Miami Beach guest problem resolution policy.
- Ensures that the Spa Desk and phones are covered at all times if a Wellness Concierge must step away.
- Handles all tasks given by the supervisor such as photocopying, faxing, and typing.
- When requested is cooperative and allows for flexible scheduling to accommodate the needs of the department. Must be flexible with the ability to work throughout the day, on weekends, and on holidays.
- Handles monthly invoices for Health & Wellness Practitioners as well as invoices for all the Revenue Shares.
- Ensures all COIs for Spa & Wellness are up to date and have the correct information.
- Assists & educates all new vendors with obtaining the proper COI.
- Attends and participates in staff meetings.
- Schedules training for Wellness Concierge and Reservations team with all new practitioners and or refresher training.
- Assists with adding new Health & Wellness services into SpaSoft & communicating with the team.
- Performs other duties as assigned.
Education, Experience and Skill Requirements
Must be customer service oriented and interested in creating a healing environment.- Must have excellent organizational skills.
- Must be multi-task oriented and able to maintain a multi-leveled records system.
- Must possess good oral, written, telephone, computer and communication skills.
- Must possess excellent receptionist, clerical, medical/secretarial skills and organizational skills.
- Must possess knowledge and be comfortable using Microsoft Office applications.
- Must have willingness to learn the following software systems: Spasoft, Opera and HOTSOS.
- Must possess a pleasant, outgoing, cheerful demeanor and work together with the team.
- Must be able to facilitate flow of guests and information through the Health & Wellness Department.
- Must be able to remain calm and helpful under pressure.
- Reports and documents any observed or known safety hazards, conditions or unsafe practices and procedures to management immediately.
- Must be high school graduate, AA degree and previous medical office experience required.
- Maintain flexibility to take on additional tasks as they may arise.
