Background

Scope of Work
The Special Assistant provides a wide range of administrative support to the Front Office principals. The incumbent prioritizes deliverables, tracks impending deadlines, and handles multiple tasks simultaneously. He/She monitors the flow of official correspondence and acts as liaison between the principal and USAID senior leadership. The Special Assistant develops a working knowledge of the Agency priorities and initiatives, USAID policies and procedures, and participates in a variety of projects and assignments with minimal supervision.

Duties and Responsibilities
1. Maintains regular contact with USAID Front Office and Agency bureaus/independent offices to obtain briefing materials, background documents, and other related materials;
2. Reviews principal’s daily calendar to ensure that the principal's day-to-day schedule is well-planned and facilitated in terms of background, briefers, and issues to be covered in daily meetings;
3. Researches and reviews key documentation for the principal ensuring input is understandable and includes information relevant to the issues;
4. Attends meetings with the principal and occasionally on behalf of principal, and coordinates special projects as assigned;
5. Develops agendas for meetings chaired by the principal;
6. Drafts correspondence and contributes to the preparations of speeches, reports, and presentations;
7. Reviews all correspondence drafted for the principal's signature to ensure clarity and that the principal's position is clearly reflected;
8. Reviews information and action memos, drafts correspondence for signature by the RMU Director; and
9. Liaises with independent offices and bureaus within the Agency and interagency in the development and maintenance of relationships.

Required Qualifications
1. Proficiency in the use of Google Applications and Microsoft Office Suite (Word, Excel, PowerPoint);
2. Ability to work in a fast-paced environment with competing and and shifting priorities;
3. Ability to efficiently multitask and prioritize workload accordingly;
4. Ability to establish and maintain effective working relationships and interact with people at all management and support levels;
5. Excellent written and verbal skills in English. The ability to read, analyze, and interpret policy documents, reports, and correspondence; and
6. U.S. citizen eligible to obtain a secret level security clearance.

Education
Bachelor's Degree required in International Affairs, Communications, Economics, Public Policy, Business or related field and one year of relevant experience.
Master’s Degree in any of the above mentioned fields preferred.

USAID Assumptions and Constraints
1. Support may be required outside of core hours. The contractor will be notified in advance if
after-hours support is required.
2. Travel may be required.
