Position Description
JOB SUMMARY
Provides high level, diverse, and confidential administrative support to their assigned Vice President, Development Department. Responsibilities include but are not limited to mail management, general document preparation, calendar management, general correspondence, special projects, events support, and all department assistants.
MAJOR RESPONSIBILITIES
- Direct responsibility for providing the administrative support necessary to achieve organizational goals and objectives.
- Provide assistance to all development department. This include RLF, MSABC, Grand Gala, Corporate accounts, CEOs Against Cancer, Direct Mail, Grants and Metro Unit.
- Provide support with our corporate’s accounts organizing the logistic of the point-of-sale materials, casual days, etc.
- Provide support with the CEOs Against Cancer Meetings this include but not limited: Invitations, follow up, and correspondence.
- Ensures that appropriate local activities/events are notified to the Marketing Department to include it in the organization’s Calendar of Events.
- Keeps appropriate and organized files and records and prepare reports as required.
- Develops a strong understanding of ACS PR operations and objectives to support the achievement of mission and income goals.
- Provides T&E management by validating and submitting T&E in “ePRF”, coding “Pcard” transactions in a timely manner, and troubleshooting transactions, coding, submissions, and/or payment issues. Ensures adherence to Travel and Expense and “Pcard” policies procedures as content expert.
- Ensures department e-time submissions are completed, reviewed, and approved by the deadline ensuring adherence to “eTime” policy and procedures.
- Maintains material display areas in local offices.
- Manages multiple projects as assigned by supervisor.
- Manages supervisor’s daily and long-term schedule (set appointments, schedule interviews, etc.)
- Organizes all aspects of meeting arrangements (e.g., meeting rooms, air travel, hotel rooms, etc.).
- Prepares agendas for committee meetings in accordance with Division standards.
- Prepares minutes for distribution within 10 working days after the meeting.
- Provides courteous and professional support to Development staff and volunteers at assigned ACS events.
- Provides timely and accurate deposits and payment requests when required.
- Provides timely and accurate data entries, reports, file maintenance, and so on.
- Provides timely and accurate documents and correspondence, and secures necessary signatures as required.
- Receives and screens incoming correspondence, reports, and phone calls.
Position Requirements
FORMAL KNOWLEDGE
- Associates degree or a combination of education and work experience. Bachelor’s degree preferred.
- 1-3 years of progressively responsible administrative and executive support experience.
SKILLS
- Demonstrated ability to take and prepare meeting minutes.
- Demonstrated ability to type 60 wpm and proficiency with MS Office software. Lotus Notes a plus.
- Demonstrated ability to use sound judgment.
- Demonstrated enthusiastic self-starter, and project management.
- Demonstrated excellence in interpersonal, verbal communication, and written composition skills with exceptional grammar.
- Demonstrated experience handling multiple projects and meeting deadlines.
- Computer skills, such as, Power Point, WORD, EXCEL, Canvas, among others.
