POSITION PROFILE:


The Staff Accountant/Accounts Payable is responsible for the overall maintenance of the hotel’s accounts payable and staff accountant functions. Enforce the hotel’s purchasing & cash policies and procedures. Ensure that all hotel obligations are processed in a timely manner. All duties as assigned by the Director of Finance.

ESSENTIAL FUNCTIONS:

  • Ensure appropriate documentation and approval is received for invoices and check requests.
  • Enter invoices, expense reports and check requests into accounting system for preparation of check runs or process of payment electronically.
  • Process Travel Agent checks and obtains signatures on all accounts payable checks.
  • Post transactions to journals, ledgers and other records.
  • Reconcile accounts payable transactions.
  • Assist in bank reconciliation duties
  • Train and Onboard Hotel/General Managers onto 3rd party purchasing system
  • Monitor accounts to ensure payments and vendor information are up to date.
  • Process 1099 forms at end of year.
  • Attend month-end preliminary P&L calls.
  • Research and resolve invoice discrepancies with vendors and/or department heads.
  • Assist with month end closing.
  • Provide supporting documentation for audits.
  • Perform day to day management of all payment cycle activities.
  • Prepare weekly bank deposits following company policies and procedures.
  • Other duties as assigned.

REQUIREMENTS:

  • Must possess a positive attitude.
  • Must be service oriented.
  • Must be able to multi-task.
  • Must possess excellent interpersonal, analytical, and managerial organizational skills.
  • Associate’s or Bachelor’s degree, emphasis in Accounting/Finance preferred.
  • Minimum 2 years Accounting/Finance experience at a full-service hotel, preferably in a boutique or luxury environment. Prior hotel operations experience preferred.
  • Prior experience using M3 Accounting software, Opera and Micros.
  • Must display ability to work with complex spreadsheets and formulas.
  • Must be able to communicate professionally in English, both written and verbal.
  • Must be able to work independently and display appropriate urgency for task completion.

  • Prioritize, organize, and follow up.
  • Be a clear thinker, remaining calm and resolving problems using good judgment.
  • Follow directions thoroughly.
  • Work with minimal supervision.


Physical Requirements:

  • Must be able to stand for long periods of time.
  • Must be able to push, pull or lift up to 25 lbs.


Qualification Standards:

  • Education: College degree preferred
  • Experience: Minimum two years of experience within guest reception or a similar position preferred, preferably a luxury hotel setting
