Staff Assistant

Power Engineers, Inc., is seeking a Staff Assistant for our Power Constructor's Department. This is a full-time position located in our Hailey or Boise, Idaho office or remote. The Staff Assistant is responsible for coordinating office operations and is the point of contact for departmental administrative activities.

Roles and Responsibilities:

  • Type, edit, and proofread documents and presentations
  • Schedule and organize meetings
  • Attend meetings and prepare meeting minutes and action item lists
  • Make travel arrangements
  • Assist with onboarding of new staff
  • Support remote IT team as required in ensuring local computers and equipment are functioning properly
  • Maintain multiple schedules and calendars across various time zones/offices
  • Data entry, expense reconciliation
  • Assist in organizing office special events (team lunches, holiday parties)
  • Interact with other offices via telephone
  • Upload all invoices received for payment by Accounts Payable into company ERP program
  • Training will be provided to learn our Dynamics system to process Per Diem payments, expenses and entering PO’s and vehicle and fuel billing for field employees

Required Education/Experience

  • College Business Administration Diploma preferred
  • High School diploma required
  • Proficiency in MS Word, PowerPoint, Outlook, Teams and Excel, Onedrive, OneNote, Sharepoint
  • Familiarity with other office programs such as Bluebeam, ProjectWise, SmartSheet, Microsoft Dynamics, Oracle, and Visio
  • Strong familiarity with a wide range of office equipment – printers, audiovisual, conference phones
  • Strong organization and customer service skills emphasizing attention to detail
  • 5+ 3+ years previous experience in administrative support or clerical role is preferred
  • Must be able to multi-task and thrive in a fast-paced, high-energy environment
