Job summary:
The STEM Center of Excellence (STEM Center) is a sprawling 92-acre living laboratory located in south Dallas that provides year-round opportunities in robotics, computer science, engineering, space science, cybersecurity, aviation and more. Through the STEM Center, GSNETX is changing the workforce pipeline in STEM to meet the urgent need for female voices, engagement, and leadership in the fastest growing sector of the U.S. Economy. The Operations and Administrative Manager is responsible for the logistical planning, daily operations, and administrative oversight of the STEM Center. The position has excellent interpersonal skills, is highly organized, proactive, is a team player, enjoys working in a dynamic environment and makes exemplary customer service a priority for all stakeholders.
Primary responsibilities include:
- Works collaboratively with the STEM Center Leadership team on planning, logistics, administration, registration and implementation of year-round Girl Scout programs, events and camp at the STEM Center.
- Provides year-round logistical support to the STEM Center team for all aspects of internal events including calendaring, coordinating supply requests, securing IT needs. Prepares and provides participant rosters year-round to STEM Center staff for all points of engagement.
- Serves as the primary point of contact for external field trips, meetings, corporate/university/non-profit programs and special events at the STEM Center. Prepares and manages logistics including but not limited to MOU’s, schedules, building reservations, insurance, related paperwork, and data collection.
- Works with the STEM Center leadership team in the planning and implementation of summer camp and events including budgeting, scheduling, and training of staff. Interviews, onboards, and supervises the summer support staff including health officers, interns, and administrators.
- Attends monthly budget meetings with council leadership to help maintain and verify STEM Center projected income and revenue. Approves invoices/agreements/MOU’s for the Finance Department and Accounts Payable in a timely manner.
- Serves as Property Team liaison to maintain open communication of on-going projects and notify property team with any issues with camp property.
- Works with STEM Center Leadership to develop a comprehensive run of show for each event including identifying materials, supplies and IT needs 2 weeks prior.
- Maintains and updates participant data (outcomes and outputs) for reporting with current requirements for grant reporting and SCOE quarterly reports, including STEM workshops, program events, outdoor amenities, field trips, family events and camp (summer and weekend),
- Leads coordination of supply requests from STEM Center departments to Procurement Manager.
- Manages and maintains STEM Center calendar, including a bi-weekly cadence to appropriate council staff with correct and up to date information. Collaborates with ELT administrative team and property team to ensure external tours are scheduled, accommodated and property is ready.
- Creates and manages annual ACA accreditation binder including maintaining internal and external camp documentation/certifications as required by ACA to acquire/maintain camp accreditation.
- Manages incident reports in collaboration with CFAO and Customer Care.
- Manages youth camp licensing in a timely fashion and maintains the current youth license requirements binder in accordance with Texas Department of State Health Services.
- Manages overall access to the property and the safety protocols for ingress and egress to the property. Collaborates with council staff on safety and security plan.
Minimum requirements:
- 2-3 years in project management / education or similar required.
- Bachelor’s degree or equivalent experience.
- Familiarity with the following platforms, or willingness to learn and become proficient in, including, but not limited to: Air Table, Ultra Camp, gsEvents, FIIX, and Microsoft Suite.
- Has experience working with children and third-party vendor/adult groups.
- Ability to work with minimal supervision.
